ADM - Promotions - Operator Guide

Overview

365 offers a robust promotion engine on ADM that allows for complete customization. This feature is great for influencing customer purchasing behavior, and can be used strategically to drive product sales and increased revenues. 

Promotions are created in ADM using a highly customizable creation flow. Promotions can be created for every location and organization you have access to, which greatly streamlines the process. All promotional types share similar core functionality, but can vary in implementation. The purpose of this guide is to describe the three promotion types and show you how to set up and manage each of the promotions in ADM.

NOTE: All promotion types will work with V5, PicoCooler, PicoCooler Breeze, PicoMarket/PicoMarket+, NanoMarket, and 365Pay. Please see the FAQ portion of this article for further details.

 

Prerequisites for Creating Promotions

  1. The user must have ADM credentials. Contact your management team if you do not have access.
  2. The user must have proper permissions in ADM. Contact your management team if you do not have proper permissions (for example, other users can see a Promotions option in the Admin menu but you cannot). Those with proper access within your organization can adjust permissions as needed.
  3. Promotions must be enabled for the organization to see the Promotions option in the Admin menu. If no users in the organization can see a Promotions option, 365 may need to enable it at the org level.

 

Types of Promotions

ADM offers the following three types of promotions:

  1. Tender: This promotion applies discounts automatically depending on how consumers pay for their orders. Promotions can be customized with many different features to make the promotions very flexible. You can specify if the discount applies to individual line items or the entire transaction. You can also choose if the discount will be applied as a percentage or a dollar amount.

  2. On-screen: This promotion provides discounts on specific products or product categories without any action required by the consumer. This product-based discount works very well for influencing purchasing behavior.

  3. Bundling: This promotion allows for the most diversified set of uses. It provides you with the ability to fully customize the promotion. It allows you to offer discounts on unique product combinations and BOGO promotions.

 

Tender Discount Promotions

The Tender Discount allows you to enable a discount based on how consumers pay for their transactions. You can discount transactions when consumers pay with a GMA account, credit/debit card, or cash (cash only applies to ReadyTouch transactions).

Using this discount effectively creates a two-tiered pricing system. Your account and cash customers, who save you money in credit card fees, are rewarded with an automatic discount every time they checkout. The customers who choose to use credit cards for their purchases help to cover the transaction fees by paying a marginally higher price.

There are four types of Tender-based discounts: Account, Cash, Credit, and Premium Payment.

Create Tender Discount Promotion

  1. Log in to ADM.

  2. Click the Admin tab on the menu bar in ADM, then select the Promotions option. The Promotion List screen will display.

  3. Click the blue Create New button in the upper right corner. The Create Promotion screen will display. There will be three tabs across the top that are used to create promotions.

  4. Set the Promotion Type to Tender Discount, then enter a unique name for the Promotion Name. Click Next.

  5. The Choose Promotion Filters tab will display. Select the Org(s) and Location(s) you would like the promotion to apply to. Optionally, you can select the Hardware type(s) you would like the promotion to apply to at the selected location(s). Applying these filters determines which kiosks will make use of the promotion.

    Click Next to proceed with creating the promotion.

  6. The Promotion Details tab will display. The fields on this screen are described below:

    • Tender Type(s): 
      • Account: The promotion would apply to anyone paying using their GMA account funds.
      • Cash: The promotion would apply to anyone paying with cash on ReadyTouch (cashier service) transactions ONLY.
      • Credit: The promotion would apply to anyone paying with a credit card.
      • Premium Payment: The promotion would apply to anyone paying using a premium payment that is enabled for the location.
    • Discount Type: You can provide a discount by a set dollar amount or a set percentage off of the transaction.
      • Amount: This allows you to select a currency amount to deduct from the checkout price.

    • Apply Discount To:
      • Line Items: The discount would apply to each applicable individual line item within a transaction.
      • Overall Transaction: The discount would apply to the transaction as a whole. This applies to the subtotal, not individual line items.
    • Transaction Minimum $: This allows you to set a minimum amount of currency required for each transaction for the promotion that you are creating.
    • Discount Timing: This drop-down menu offers three options for when the promotion will apply.
      • Flash Sale: The easiest Discount Timing to create but also the least customizable option. A Flash Sale begins immediately after the promotion is created and ends after the number of hours you specify.

      • Recurrence: The most complex Discount Timing option. You will need to set the Start DateEnd DateStart Time, End Time, and what days the promotion will be Recurring on.

        If you want the promotion to run indefinitely (or until you manually end it), check the Has No End Date box.

      • Scheduled: This option gives you the ability to plan promotions for special case sales.
        If you want the promotion to run indefinitely (or until you manually end it), check the Has No End Date box.

        Types of Promotion Times
        • Scheduled: Scheduled Discount Timing is determined by a start date and time. It can have an end date and time or run indefinitely. Example: There is one continuous promotional period. This promotional period starts at 11 am on Monday and continues until 3 pm on Tuesday. The promotion lasts for 28 hours and continues throughout Monday night and Tuesday morning. It continues to apply at 4 pm on Monday, and at 10 am on Tuesday.
        • Recurrence: Recurrence Discount Timing allows you to have a promotion run on specific days of the week. The beginning of the recurrence requires a start date and time. The end date and time can be set or run indefinitely. Example: There are two promotional periods. One promotional period is on Monday starting at 11 am and ending at 3 pm, and the second is on Tuesday starting at 11 am and ending at 3 pm. Each promotional period lasts for 4 hours. The promotion is only applicable during the selected time frames and will not be available outside of the selected time frame. It does not apply at 4 pm on Monday, or at 10 am on Tuesday.
        • Flash Sale: Flash Discount Timing will run from the creation time of the promotion for a specified duration. It has a minimum of one hour and a maximum of 24 hours.

  7. Click the blue Create button on the bottom left.

  8. ADM will display a confirmation message, informing you that the promotion has been submitted. Click OK to close the message.

  9. The promotion will now be added to the processing queue. Once ADM is ready to process the promotion, you will receive an email informing you if the promotion was successful, or if it failed and must be updated or canceled. 
  10. View the status of your promotion at any time by navigating to the Promotions List screen. Any promotion that is unsuccessful will show details on the conflicts that are preventing it from processing.

On-Screen Promotions

The On-Screen Promotion allows you to discount certain items, or categories of items to consumers who purchase from your market, regardless of the tender they choose for payment. You can schedule consecutive on-screen promotions, or run multiple concurrent on-screen promotions if they don’t overlap in item selection.

In On-Screen Promotions there are two types of promotions:

  • Discounts on Item(s)
  • Discounts on Category(s)

These can both be discounted by:

  • Currency Amount
  • Percentage

 

Create On-Screen Promotion

  1. Log in to ADM.

  2. Click the Admin tab on the menu bar in ADM, then select the Promotions option. The Promotion List screen will display.

  3. Click the blue Create New button in the upper right corner. The Create Promotion screen will display. There will be three tabs across the top that are used to create promotions.

  4. Set the Promotion Type to On-Screen, enter a unique name for the Promotion Name, then enter a Display Name, and click Next.

    The Display Name will appear on the kiosk itself when the consumer has an applicable transaction. The Display Name can be the same as the Promotion Name but does not have to be.

Alternatively, you can check the All Items box for the promotion to apply to all products at the item level. You can limit the number of times a promotion can be applied in the Promo Restrictions on this screen (described in a bullet point below).

      • Category: When Category is selected for this field, an additional Category(s) field will display. You can enter the name of categories (such as beverages) which you would like the promotion to be applied. Alternatively, you can check the All Categories box for the promotion to apply to all categories tied to products at the location(s). You can limit the number of times a promotion can be applied in the Promo Restrictions on this screen (described in a bullet point below).

Bundling Promotions

The V5 MicroMarket has a bundling functionality that enables individual products, whole product categories, or a mix of both, to be included in a bundle. If consumers purchase all the items in the bundle, they will get a discount. Consumers will receive real-time, on-screen feedback when they have met the bundle requirements. Bundling is a great way to influence consumer purchasing behavior and can be used to draw consumers into the market for these special discounts

 

Create Bundle Promotion

  1. Log in to ADM.

  2. Click the Admin tab on the menu bar in ADM, then select the Promotions option. The Promotion List screen will display.

  3. Click the blue Create New button in the upper right corner. The Create Promotion screen will display. There will be three tabs across the top that are used to create promotions.

  4. Set the Promotion Type to Bundle, enter a unique name for the Promotion Name, then enter a Display Name, and click Next.

    • Build Bundle: 
      • Item: When an Item is selected for this field, an additional Item(s) field will display. You can enter the name of individual products that you would like the promotion to be applied. Alternatively, you can check the All Items box for the promotion to apply to all products at the item level. You can limit the number of times a promotion can be applied in the Promo Restrictions on this screen (described in a bullet point below).

      • Category: When Category is selected for this field, an additional Category(s) field will display.       • Group: With a Group Bundle promotion, you will be able to create custom groups, that can include both Items and Categories from which the consumer must make purchases. This allows for more custom Bundle promotions to be implemented as you can pick and choose specific criteria that must be met.

        When Group is selected for this field, a new Add Group option will display. When this button is selected, a modal will then appear that allows you to customize a specific group of items or categories.

        After this modal appears, provide a Group Name, which must be unique within that specific promotion. Next, select individual the Items or Categories you would like to include, and click the check box to associate them to the Group. Items and Categories can be combined together into a single Group, and when selected, will appear in the Bundle List. When that Group is complete, you can save the selections by pressing Add, and create another Group if desired.
        Each Group that is created for the promotion will be a requirement that must be met by the consumer. For example, if there are three Groups on the promotion, the consumer must purchase an item or category from each one of those three Groups to receive the promotion.

    • Transaction Minimum $: This allows you to set a minimum amount of currency required for each transaction for the promotion that you are creating.

    • Promo Restrictions: If this box is checked, a Per Transaction Limit field will display. You can enter the number of times this promotion can be used per transaction in that field.

    • Pricing: The Pricing section allows you to further customize the bundle promotion by setting the quantity of products needed for the promotion to qualify in the Qty fields and the Bundle Price or Discount Amount.
      • Bundle Price: This option allows you to set an exact price a customer will be charged for a bundle. For example, a "buy 1 Hamburger, get a free 20 oz. Coca-Cola" deal can have a Bundle Price that is set to the price for just the hamburger, making the beverage free. When these items are rung up on the POS, the discount will automatically apply.

      • Discount Amount: This option allows you to set the exact amount a bundle will be discounted. For example, a "buy one Coca-Cola and hamburger, save $1.00" deal can have a Discount Amount that is set to $1.00, meaning $1.00 will be deducted from the Regular Price Total. When these items are rung up on the POS, the discount will automatically apply. There will also be a checkbox stating If Discount Amount exceeds Bundle Price Apply Remaining Discount to Overall Transaction. If this box is checked, the Discount Amount exceeds the Bundle Price, and items that are not included in the promotion are in the consumer's cart, the remaining discount amount will apply to the overall total of the transaction, including non-promotional items/categories.

View and Edit Promotions

You can view/edit promotions at either the organization level or at the location level. The sub-sections below will go over the steps for each level.

 

View and Edit at Organization Level

  1. Log in to ADM.

  2. Click the Admin tab on the menu bar in ADM, then select the Promotions option. The Promotion List screen will display.
    • By default, all submitted and processed promotions will show for any organizations/locations you have access to. You can filter this search by Date Range, Locations, Status, and/or Promo Type. You can click the plus sign to the left of a promotion name and it will display the organizations the promotion is applied to. If you click the plus sign to the left of the Org name, it will display the locations the promotion is applied to within the specific organization.
  3. To edit a promotion, double-click the promotion name. The Edit Promotion screen will display. You can go through the different tabs on this screen to edit the promotion accordingly. You can also end the promotion manually from this screen.
    NOTE: Expired promotions cannot be edited.

 

View/Edit at Location Level

  1. Log in to ADM.

  2. Click the Location tab on the menu bar in ADM, then select the desired location. The Location Summary screen will display.

  3. Scroll to the table at the bottom of the screen and click the Promotions tab.
    • By default, all active promotions will show for the location. You can filter this using the Status drop-down and you can sort by clicking on the column headers or using the Search field on the right. 

  4. To edit a promotion, double-click the promotion name. The Edit Promotion screen will display. You can go through the different tabs on this screen to edit the promotion accordingly. You can also end the promotion manually from this screen.
    NOTE: Expired promotions cannot be edited.

 

Copying Promotions

You can copy any existing promotions (scheduled, active, or expired) to create a new promotion with the same criteria and edit as needed.

  1. Log in to ADM.

  2. Access the promotion you would like to copy from either Admin > Promotions or Location Summary > Promotions tab

  3. Double-click on the promotion you would like to copy. The Edit Promotion screen will display.

  4. Click the Copy Promotion button in the top right corner of the existing promotion.

  5. Rename the promotion in the Promotion Setup Alert window, then click CONTINUE.

  6. The Create Promotion screen will display. Make your desired changes on tabs two and three (Choose Promotion Filters and Promotion Details).

  7. Click the blue Create button at the bottom left of the screen to create your new promotion.

 

Unlockable Promotions 

The Unlockable Promotions feature in ADM allows you to choose which consumers can receive which promotions. Consumer roles can be linked to a promotion, meaning they need to scan or manually enter a discount code at the kiosk to unlock the promotion. 

The Unlockable Promotions feature is a great way to implement an Employee Discount or other such promotional deals. 

 

Implementing Unlockable Promotions

To start, a consumer role must be created. This will be created by the 365 support team. 

 

Required Information

  • The name of the role

  • At least ONE commonality amongst the cards to be utilized. The options are: 
    • Starts with - all barcode numbers will start with the same character
    • Ends with - all barcode numbers will end with the same character
    • Length - all barcode numbers be the same length

Adding a Consumer Role to a Promotion

After support creates a consumer role, you will then be able to use that role to link to a promotion. A consumer role can be linked to any of the 3 promotions: Tender, On-Screen, or Bundle

  • Start by creating a promotion as previously described.

  • Next, Choose Role and Device Filter (shown below). Here, you can choose which roles will have access to this promotion.

Once the promotion is activated, only consumers that have a barcode card associated with that consumer role will have access to this promotion. At the checkout screen, the consumers will see a button that will give them the option to select the promotion. After selecting the button, the consumer can then scan their barcoded card or manually input the discount code to apply the promotion.

Customizing the Unlockable Promotion Button

The unlockable promotion button on the checkout screen is customizable by 365 Support. 

 

Customer Experience

Your customers will be able to save their unlock discounts to mobile accounts. This means that they will not need to scan or manually type in their discount for every purchase - they will be able to save it for future purchases.

 

Mobile View: OrderAhead

When using OrderAhead, the end user will have the option to use a discount code by selecting a button stating Have a discount code? Click here!

FAQ

General What types of ADM  promotions do we offer?

365 offers three types of ADM promotions:

  • Tender discount
  • On-screen discount
  • Bundled discount

The Tender discount promotions can be customized with many different features to make the promotions very flexible. Not only can you specify if the discount applies to line items individually or the entire transaction, but you can also choose to apply the discount as a percentage or dollar amount.

The On-Screen discount is product-based. It allows for discounts on specific products or product categories without any action required by the consumer. It works very well for influencing purchasing behavior.

The Bundled discount is our latest promotion type. It allows operators to offer discounts on unique product combinations and BOGO promotions. It gives you the most diversified set of uses which allows you to fully customize the promotion.

 

Who can create, edit, and remove promotions?

Operators for Orgs and Locations that have promotions enabled in ADM can create, edit, and remove or expire promotions.

 

Who can redeem a promotion?

A consumer, who is purchasing an item at a device in a market that has one or more promotions running, can redeem a promotion.

 

Why should you as an Operator use promotions?

Promotions are a great way to:

  • Incentivize customers to purchase slow-moving items in an inventory
  • Help clear out a product that will soon expire
  • Raise awareness of new and exciting products in a market

 

Can a promotion be set for specific time ranges?

Yes, you can determine the exact start and end times of a promotion. If Recurring is selected, you can select the day(s) on which you would like it to occur.

 

Can a promotion be turned off before its end date?

Yes, to do so follow the steps in the View/Edit Promotions section of this guide.

 

Can I duplicate an existing or expired promotion that I ran?

Yes, to do so follow the steps in the Copying Promotions section of this guide.

 

If I am in the process of creating a new promotion and I close my window, will my progress and settings be saved?

No, if the browser window is exited or you navigate away from the promotions screen, the progress and information of the promotion you were creating will not be saved. You must begin the process again.

 

What is a Promotion Analysis?

It is a report that allows you to view the promotion redemptions, that are shown either by Promotion or by Location. You can view a Promotion Analysis Report in the Reports section. You may export this report to Excel for your convenience.

 

Promotion Basics Can I give two promotions the same name?

No, the Promotion Name must be unique and cannot be used again.

 

Can I use the same promotion for more than one Tender Type?

Yes, in the Details section of a Promotion Creation you can select any combination of Tender Type(s). However, if a Tender Type is already being used in an Active promotion, you cannot create another with the same Tender Type to run during the overlapping time and with the same filter criteria selected.

 

How many promotions can be running at one time?

You can have up to three unique promotions running at the same time for each ‘Tender Type’ (cash, account, credit card) with the same filtered criteria. However, you cannot run more than one tender type promotion during the same time for the same filtered criteria. The filter criteria can create very flexible promotions, which may affect your ability to run more than three promotions at the same time.

 

Promotion Details What does Tender Type mean?

There are four Tender Types:

  • Account: The promotion will be applied when a customer uses their Stored Value Account as their form of payment for their transaction.

  • Cash: The promotion will be applied when a customer uses cash as their form of payment for their transaction.

  • Credit: The promotion will be applied when a customer uses credit as their form of payment for their transaction.

  • Premium Payment: The promotion would apply to anyone paying using a premium payment that is enabled for the location.
NOTE: One, several, or all Tender Types can be selected for a single promotion.

 

What are the Discount Types?

There are two Discount Types:

  • Percentage: This will calculate the specified percentage for the discount to be applied on either the transaction total or by each line item.

  • Amount: This will provide the specified dollar amount for the discount to be applied on either the transaction total or by each line item.

 

What is the difference between the “Apply Discount To” options?
  • Each Line Item: The discount will be applied to each line item in a transaction.

  • Overall Transaction: The discount will be applied to the transaction as a whole (subtotal).

 

What is Transaction Minimum?
  • It is the minimum dollar amount that the consumer’s transaction must meet before the promotion becomes valid and can be applied to their transaction.
NOTE: Setting a Transaction Minimum is not required.

 

Discount Timing What is Discount Timing?

There are three types of Discount Timing:

  • Scheduled: Scheduled Discount Timing is determined by a start date and time. It can have an end date and time or run indefinitely.
    • Example of a Scheduled promotion: There is one continuous promotional period. This promotional period starts at 11 am on Monday and continues until 3 pm on Tuesday. The promotion lasts for 28 hours and continues throughout Monday night and Tuesday morning. It continues to apply at 4 pm on Monday, and at 10 am on Tuesday.

  • Recurrence: Recurrence Discount Timing allows you to have a promotion run on specific days of the week. The beginning of the recurrence requires a start date and time. The end date and time can be set or run indefinitely.
    • Example of a Recurring promotion: There are two promotional periods. One promotional period is on Monday starting at 11 am and ending at 3 pm, and the second is on Tuesday starting at 11 am and ending at 3 pm. Each promotional period lasts for 4 hours. The promotion is only applicable during the selected time frames and will not be available outside of the selected time frame. It does not apply at 4 pm on Monday, or at 10 am on Tuesday.

  • Flash Sale: Flash Discount Timing will run from the creation time of the promotion for a specified duration. It has a minimum of one hour and a maximum of 24 hours.
