What's New/Release Notes for April 2026

VMS

VMS

Version: 26.02.00

Release Date: 4/2/26

What's New

  • Planned Product Changes for Paired Selections: Operators can now schedule product changes on paired slots without manually unpairing first. The forecasting engine recognizes pending changes on paired slots, and prekitting automatically includes the new products prior to the service date. This ensures drivers have the correct stock for planned product swaps, improving route efficiency and eliminating the need for manual workarounds when changing products on paired selections. Swap and copy functionality for vending machine planograms is also now available.

  • Wallet Sales in Reports: A new “Wallet Sales” column is now available in the Route Sales, Location Sales, Account Sales, and POS Sales reports. Previously, wallet transactions were grouped under Cash Sales, making it difficult to see the true payment type breakdown. The new column appears after the Cashless Sales column, and Cash Sales has been recalculated to exclude wallet transactions. Total Sales remains unchanged (Cash + Wallet + Cashless = Total). All export formats (CSV, Excel, PDF) include the new column.

Improvements

  • Disable Product Changes in Stock App: We added a new company-level setting (“Allow product changes”) under Company Settings → Driver tab. When disabled, the product change option is hidden from drivers in the Stock App planogram selection flow, preventing unauthorized product swaps. The setting is enabled by default, preserving current behavior. Available on both iOS and Android.

  • Selection Capacity Warning: A new company-level setting (“Selection capacity warning”) is available under Company Settings → Driver tab. When enabled, drivers receive a warning at save time if entered stock quantities exceed the selection capacity. A confirmation modal lists all over-capacity selections, and inline highlighting helps drivers quickly identify and correct data entry errors. The setting is disabled by default.

Bug Fixes

  • Inventory List Prekit Button Display: Fixed an issue where prekit buttons were hidden on the Inventory List screen. Buttons now display correctly and are accessible to drivers during their route workflow.

  • Remote Price Change Error: Fixed an issue where a “Change id not found” error occurred during remote price changes. Price changes now process without errors.

  • Machine Layout Modification Error: Fixed an issue where a server error occurred when modifying machine layouts. Layout modifications now save successfully.

  • Canteen Report Pricing: Fixed an issue where the Canteen Report displayed incorrect pricing. The report now reflects accurate price values.

AVLive

AVLive

Version: 26.03.00

Release Date: 4/2/26

What's New

  • Partial Refund Capability: The AV Live credit card refund feature now supports partial refunds. Operators can enter any refund amount from $0.01 up to the full original transaction value through the self-service refund modal. The system displays a clear confirmation showing the remaining non-refundable balance after a partial refund is processed. One refund per transaction is supported by the payment processor, so the transaction is locked from further refunds after any refund (partial or full).

  • Transactions Refunded Report: A new Transactions Refunded Report is available under Reports > Heartland. Operators can filter by date range (defaults to last 7 days) and by user. The report displays Transaction ID, Device, Machine Name, Transaction Date, Original Amount, Refund Amount, Remaining Balance, Refund Date, and Executing User. Export is available in CSV, Excel, and PDF formats.

  • Keefe Card Acceptance for PicoVend: PicoVend machines now accept stored value Keefe cards via barcode scan. This enables facilities such as correctional institutions to offer cashless vending through Keefe stored value cards on PicoVend machines. The feature includes balance inquiry, stored value deduction, and successful vend reporting. AV Live also supports Keefe card configuration with per-transaction pricing, custom button labels, and reconciliation reporting.

Improvements

  • Vending Cash Discount Compliance Update: We updated the vending payment display to comply with card network rules. Vending machines now show both the cash price and the card price on the payment terminal, with the cash price set as the base price and the card price calculated automatically. Operators configure the cash discount amount (as a dollar value or percentage) in AV Live, and the system calculates the card price accordingly. This applies to PayPlus 2026.2.0 and PicoVend 2026.1.0.

  • GMA Connected Campus Messaging: We improved the messaging displayed when setting a GMA connected campus on a machine or device, making the workflow clearer for operators configuring campus associations.

  • Machine Transfer Product Handling: Products are no longer duplicated when transferring a machine between companies. If a product already exists in the destination company, the system now recognizes it and skips the copy, preventing duplicate product entries.

Bug Fixes

  • Machine Planogram Template Validation: Fixed an issue where a machine could be created with an empty planogram template, which caused errors downstream. The system now validates that a planogram template is selected before allowing machine creation.

VMS

VMS

Version: 26.01.00

Release Date: 3/15/26

What's New

  • PCV Door Unlock and Stockwell Integration (Pepsi Service Workflow): Drivers now see an unlock button on the asset detail screen for PCV coolers, allowing them to trigger a door unlock directly through the Stock app via Stockwell.
Post-service photos are now mandatory before a service call can be finalized, ensuring proper documentation of completed work.

  • Stock App – “In Progress” Service Status: We enhanced the Stock app to support an “In Progress” status for service records. This allows drivers to be able to make changes to Prekit amount during the service.

  • Level Product Cost Integration: We introduced an inbound integration with Level for product cost data. VMS now receives cost updates from Level via a new API endpoint and automatically maps and applies them to the correct product records. This eliminates manual cost entry and ensures pricing data stays current across systems.

  • Lightspeed Integration – Asset Numbers and Substitution Processing: We enhanced the Lightspeed ordering integration to include asset numbers in prekit order payloads and UPCs in product catalog sync.
When a warehouse substitutes a product, VMS now detects the substitution, validates pricing tiers, recalculates order pricing automatically, and schedules the substitution as a planogram change so routes reflect the new product.
Substitutions missing pricing tier data are rejected with a clear error message. Note: Paired slot substitutions for Pepsi dual-slot coolers are not yet available and will ship in a follow-up hotfix.

Improvements

  • OCS – Tech2Success Location Contact Flags: We updated the OCS Locations contacts, adding a flag to include them or exclude them from the Tech2Success sync.

  • Machine Notes Preserved During Location Move: We improved the machine location move tool with a “Bring Notes” checkbox. When checked, a machine’s existing notes and service history move with it to the new location. When unchecked (the default), notes are cleared. This gives operators control over whether historical context follows the equipment during relocation.

Bug Fixes

  • Days of Operation Field Visibility: Fixed an issue where the Days of Operation field was incorrectly hidden in non-PepsiCo environments based on permission settings. The field is now visible to all users in non-Pepsi environments and only hides when restricted in PepsiCo environments per their specific configuration.

  • Stock App – Tech Ticket Notes Background: Fixed an issue where the Android Stock app displayed the Tech Tickets notes text box with a black background, making text unreadable. The background color is now corrected and text displays properly on all Android devices.

  • Stock App – Duplicate Product Lines at End-of-Day: Fixed an issue where the Pepsi Stock app showed duplicate product line entries at end-of-day in certain conditions, confusing drivers about actual inventory counts. The display logic is corrected and duplicate lines no longer appear.

  • Paya Payment – Card Decline Logic: Fixed an issue where a declined card during a Paya payment still marked the invoice as paid in VMS, creating a reconciliation discrepancy. Payment status logic is updated so declined cards no longer incorrectly mark invoices as paid.

  • Kiosk Reset Log – Timezone Display: Fixed an issue where the Kiosk Reset Log displayed timestamps in UTC instead of the local timezone. Timestamps now display in the kiosk’s local timezone for accurate reference.

  • Stock App – Save on Cancel Dialog: Fixed an issue where clicking “Yes” on a cancel dialog in the Android Stock app saved changes instead of discarding them. The cancel logic is corrected and changes are properly discarded when canceling.

  • Bulk Invoice Send – Tax Data Missing: Fixed an issue where bulk invoice sends were not pulling tax data from the QuickBooks integration, resulting in invoices sent without tax information. Tax data now flows correctly from QuickBooks into bulk invoice operations.

  • Stock App – Machine Photo Viewing Error: Fixed an issue where viewing machine photos in the Stock app sometimes threw an error and failed to display images. Image loading logic is corrected and photos now display reliably.

  • DEX Password Bypass and Price Change Resend: Fixed an issue where price changes were not sending to DEX devices properly when password bypass was enabled. The price change logic is corrected for DEX bypass mode, and a new resend command allows support to retry failed price changes without creating duplicate requests.
