VMS

VMS

Version: 26.04.00

Release Date: 06/04/26

What's New

  • OCS Managed Station Forecasting: We introduced OCS forecasting for managed stations. The system averages product quantities from a station's most recent completed invoices and presents that forecast as the driver's starting invoice. A new company setting controls how many invoices to include, defaulting to 3 with a range of 1 to 9, and you can enable forecasting per managed station with a station-level toggle.

Improvements

  • Negative Presentation Prices: You can now use negative presentation prices in VMS, supporting credit workflows such as OCS five-gallon water bottle deposit credits, damaged goods credits, and overcharge corrections. Negative values display and calculate correctly on your invoices.

  • Equipment Category Edit: Managers and Route Managers can now change an equipment item's category between OCS and MM on the equipment edit screen. When you change the category, dependent fields update automatically, current values clear, and you receive a confirmation warning. Linked service repair tickets remain intact.

Bug Fixes

  • Stock App and Service Workflow: We resolved several Stock App and service workflow issues. Servicing an offline machine on a daily route now removes its prekitted products from the truck. The check-in inventory page shows returning inventory in cases and eaches for case-level adjustments. Audits complete only when inventory is recorded, so they no longer close when the inventory screen is skipped or unsaved. We also restored driver fingerprint access when the wallet setting is disabled.

  • Planogram Management: We fixed the “Pair Like Selections” feature in the planogram editor, where pairings were lost after saving. Pairing now saves correctly across the Pair All, Pair Within Rows, and Pair Within Columns options.

  • Performance: We improved the Inventory Transfer tool, which could take one to two minutes to load and stay unresponsive for large inventory volumes. It now loads and responds much faster.

  • Route Management: We added validation that prevents saving a route without any days of operation selected. A route now requires at least one day of operation before saving.

MobileMarket

MobileMarket

Version: 26.03

Release Date: 06/11/26

What's New

  • New ADM powered Age Verification platform functionality launched for CV and MobileMarket devices:
    • New functionality will leverage age verification configuration from ADM, where Hotel/Hospitality operators can create custom QR codes for either single use or multi use session durations.

    • Consumers will be given a QR code on check-in (pending manual ID check) and can present this at the cooler or PicoMarket, verifying they are of age to shop. Once validated, the consumer will be allowed access and can continue with their normal pre-auth payment flow, purchasing restricted age products without further verification.

  • New tokenized payments now supported on CV and PicoCooler Locked solutions in EU and UK markets: Secure payment tokenization capability powered by 365 Payments replaces sensitive card data with encrypted tokens at the point of transaction, enabling smarter, more flexible payment flows across pre-authorization flow devices. Tokenization will introduce retry logic for declined payment transactions with subsequent charges to the shopper's card now possible. Tokenization will also introduce more capabilities for incremental charge requests.

  • MobileMarket devices now support the ability to toggle off QR code receipts for environments where consumers do not or cannot have access to their phones.

  • Subsidy and Payroll deduct functionality now supported on CV devices, enabling consumers to use their GMA subsidies and payroll deduct balances. It also supports both Top-Off and Rollover subsidy types on CV, giving operators more flexibility in how they fund and manage consumer benefits across their locations.

  • Operators can now reset HSA lock-out status on coolers remotely from ADM. Operators can simply toggle a specific device to reset the HSA status, allowing consumers to shop from the cooler without requiring a manual, on-site reset. This functionality will require a waiver to be signed before being enabled.

Improvements

  • New VisionLink improvements:
    • Student card support: VisionLink now supports student card payments in US/CA across VisionLink enabled coolers/cabinets, enabling the same functionality as credit/debit supported today.

    • Fullcount support: VisionLink now supports Fullcount account payments in US/CA across VisionLink enabled coolers/cabinets, enabling the same functionality as credit/debit supported today.

    • Canada credit card support: VisionLink now supports Canadian credit card payments, leveraging tokenization flows as currently available in the US.

    • Age Verification support: VisionLink now supports CLEAR Age Verification flows across enabled coolers/cabinets in US/CA.

    • Improved UI/UX: A new “Welcome Back” screen for repeat/within-session transactions has been added, to inform consumers that we’ve remembered them and to give assurance they’re in an active VisionLink session.

  • Minor PicoCoffee UI/UX localization improvements to streamline consumer experience alongside PicoMarket and other MobileMarket devices.

    • Caterers can create and manage reports by selecting the report type, applying filters such as date range or location, and choosing how often they should be sent.

    • Reports can be scheduled daily, weekly, or monthly and delivered automatically to one or more email recipients.

Improvements

  • N/A

Bug Fixes

  • Offline Machine Service Truck Inventory: We resolved an issue where servicing an offline machine did not remove the prekitted inventory from the route truck. Inventory was being added to the truck during prekit, but the matching service transaction to remove it was not being created when the offline machine was serviced. Truck inventory now correctly reflects the consumed product after an offline machine service is completed.

ADM

ADM

Version: 26.04.0

Release Date: 05/21/26

What's New

  • A new Consumer Engagement feature for Birthday Gifts has been released in ADM. Operators can configure either a balance credit or Reward points to be credited to consumers within their birthday month. When credited, consumers will receive a push notification, which is also customizable, via the 365Pay app that will inform them of their gift.

  • For Payroll Deduct enabled Locations, we have introduced a new custom reporting feature. For the Payroll Deduct Summary report on ADM, Operators will be able to rename column headers, determine which columns appear, adjust column layouts, and add blank columns. This feature is intended to allow Operators to have the summary report generated in the specific format required by the client, saving time and effort on manually adjusting the report.

Improvements

  • For the Rewards – More Ways to Earn feature, a new method for enabling push notifications has been added. Operators can optionally configure this new method for a Rewards program and when consumers opt-into the method and enable push notifications, they will receive the corresponding reward points. To note, the 365Pay release in early June is required for consumers to interact with this method.

  • Operators managing Order Ahead Dining Locations can now optionally upload an image that will show within the 365Pay app to consumers. This image will replace the default spoon and fork image that shows on the Dining Location tile on the homepage of the app. This is a great way to add customization to Dining locations and to interact with consumers in a new way. To note, the 365Pay release in early June is required for consumers to interact with this method.

  • The GMA Subsidy feature has been updated to add a new Quarterly Recurrence option. This funding recurrence will fund the Subsidy Balance every 3 months from the specified Start Date.

Bug Fixes

  • When consumers used a Gift Pass to make a purchase or fund a GMA Balance, a record for the Gift Pass was created on the Consumer Search grid. We have updated this process so that these records are no longer generated to keep the grid clean and accurate.

  • General bug fixes.

  • N/A

Improvements

  • N/A

Bug Fixes

  • Parlevel Barcodes Now Map Correctly: We fixed an issue where barcodes sent from Parlevel into Lightspeed were matched using the Product ID instead of the unit SizeID. Barcodes now resolve to the correct size.

  • Order Consolidation Report Totals: We corrected the Order Consolidation Report so the Fill and dollar totals now calculate correctly on the website and in the PDF export, and page totals no longer duplicate a row when a line wraps across pages.

April 2026

What's New/Release Notes for April 2026

VMS

VMS

Version: 26.02.00

Release Date: 4/2/26

What's New

  • Planned Product Changes for Paired Selections: Operators can now schedule product changes on paired slots without manually unpairing first. The forecasting engine recognizes pending changes on paired slots, and prekitting automatically includes the new products prior to the service date. This ensures drivers have the correct stock for planned product swaps, improving route efficiency and eliminating the need for manual workarounds when changing products on paired selections. Swap and copy functionality for vending machine planograms is also now available.

  • Wallet Sales in Reports: A new “Wallet Sales” column is now available in the Route Sales, Location Sales, Account Sales, and POS Sales reports. Previously, wallet transactions were grouped under Cash Sales, making it difficult to see the true payment type breakdown. The new column appears after the Cashless Sales column, and Cash Sales has been recalculated to exclude wallet transactions. Total Sales remains unchanged (Cash + Wallet + Cashless = Total). All export formats (CSV, Excel, PDF) include the new column.

Improvements

  • Disable Product Changes in Stock App: We added a new company-level setting (“Allow product changes”) under Company Settings > Driver tab. When disabled, the product change option is hidden from drivers in the Stock App planogram selection flow, preventing unauthorized product swaps. The setting is enabled by default, preserving current behavior. Available on both iOS and Android.

  • Selection Capacity Warning: A new company-level setting (“Selection capacity warning”) is available under Company Settings > Driver tab. When enabled, drivers receive a warning at save time if entered stock quantities exceed the selection capacity. A confirmation modal lists all over-capacity selections, and inline highlighting helps drivers quickly identify and correct data entry errors. The setting is disabled by default.

Bug Fixes

  • Inventory List Prekit Button Display: Fixed an issue where prekit buttons were hidden on the Inventory List screen. Buttons now display correctly and are accessible to drivers during their route workflow.

  • Remote Price Change Error: Fixed an issue where a “Change id not found” error occurred during remote price changes. Price changes now process without errors.

  • Machine Layout Modification Error: Fixed an issue where a server error occurred when modifying machine layouts. Layout modifications now save successfully.

  • Canteen Report Pricing: Fixed an issue where the Canteen Report displayed incorrect pricing. The report now reflects accurate price values.

Version: 26.03.00

Release Date: 04/30/26

What's New

  • Machine Management Tab on Machine Models: We introduced a Machine Management tab to Machine Models, giving operators a single screen to view which machines are assigned to a model versus which are eligible. Operators can now bulk assign or unassign machines directly from this tab without navigating away.

  • CV Cooler Stock App Flows: We introduced Computer Vision Cooler support within Stock App workflows. Operators managing CV-enabled coolers can now complete inventory and stocking tasks directly in the Stock App rather than switching to a separate interface, streamlining the service workflow for CV cooler locations.

  • Margin-Based Pricing Rules: We introduced margin-based pricing rules, enabling operators to define pricing driven by margin thresholds rather than fixed prices or cost-plus rules. This gives operators more flexibility to maintain target margins across product categories without manually adjusting individual product prices.

Improvements

  • Cash in Machines Report Enhancement: We enhanced the Cash in Machines report to provide a complete, exportable view of uncollected cash across all machines and markets. Operators can now see the full picture of outstanding cash in one place and export the data for reconciliation or reporting.

  • Equipment Display Selection Standardization: We standardized equipment selection displays across the platform. Operators working across multiple modules will now encounter a consistent selection interface regardless of context, reducing confusion and training overhead.

Bug Fixes

  • Reporting Accuracy and Filtering: We resolved a number of issues affecting report accuracy and filtering across the platform. Warehouse and region filters now apply correctly across Analytics, Financial, and Market reports, including Cash in Machines, Money Bags, Market Transactions, Reset History, and OCS,  ensuring data is scoped to your selected location. We also corrected Route Sales Report margin percentages when filtering by Machines Only, fixed Service Date and Service Type filtering in the Consolidation Report, and resolved a shrinkage tracking issue in truck consolidation where reassigned shrinkage was recording an incorrect starting value.

  • Reporting Performance: We addressed load time and reliability issues across several reports. The POS Sales and Machine Sales reports now load significantly faster for operators with large data volumes. The Machine Prices report no longer times out for operators with large machine counts. Machine Sales by Day, by Hour, and by Day of Week reports also load faster, note that the Day of Week report is now scoped to the last 30 days.

  • Planogram and Route Management: We fixed the "Only Show Active Products" filter on the planogram edit screen, which was not expanding search results to include inactive products when turned off. We also resolved issues with alert ticket creation, tickets created from an alert now correctly link to the associated asset and can be updated after creation. Additionally, the Waste Report now correctly restricts route visibility to your warehouse assignment instead of returning a system error.

  • Lightspeed Integration: We fixed two issues affecting operators using the Lightspeed integration. Product substitutions now apply to all positions in a paired planogram slot instead of updating only one position, keeping your planogram consistent. The system also now validates that a presentation exists for a substitute product before the substitution is processed, preventing errors downstream.

  • Stock App and Integrations: The money bag scan screen in the Android Stock App has been updated to use a current, supported barcode scanning library. Scanning behavior is unchanged. For operators using both QuickBooks Online and Sage integrations, QuickBooks Online is now consistently treated as the source of truth for invoice item data when both are active.

AVLive

AVLive

Version: 26.03.00

Release Date: 4/2/26

What's New

  • Partial Refund Capability: The AV Live credit card refund feature now supports partial refunds. Operators can enter any refund amount from $0.01 up to the full original transaction value through the self-service refund modal. The system displays a clear confirmation showing the remaining non-refundable balance after a partial refund is processed. One refund per transaction is supported by the payment processor, so the transaction is locked from further refunds after any refund (partial or full).

  • Transactions Refunded Report: A new Transactions Refunded Report is available under Reports > Heartland. Operators can filter by date range (defaults to last 7 days) and by user. The report displays Transaction ID, Device, Machine Name, Transaction Date, Original Amount, Refund Amount, Remaining Balance, Refund Date, and Executing User. Export is available in CSV, Excel, and PDF formats.

  • Keefe Card Acceptance for PicoVend: PicoVend machines now accept stored value Keefe cards via barcode scan. This enables facilities such as correctional institutions to offer cashless vending through Keefe stored value cards on PicoVend machines. The feature includes balance inquiry, stored value deduction, and successful vend reporting. AV Live also supports Keefe card configuration with per-transaction pricing, custom button labels, and reconciliation reporting.

Improvements

  • Vending Cash Discount Compliance Update: We updated the vending payment display to comply with card network rules. Vending machines now show both the cash price and the card price on the payment terminal, with the cash price set as the base price and the card price calculated automatically. Operators configure the cash discount amount (as a dollar value or percentage) in AV Live, and the system calculates the card price accordingly. This applies to PayPlus 2026.2.0 and PicoVend 2026.1.0.

  • GMA Connected Campus Messaging: We improved the messaging displayed when setting a GMA connected campus on a machine or device, making the workflow clearer for operators configuring campus associations.

  • Machine Transfer Product Handling: Products are no longer duplicated when transferring a machine between companies. If a product already exists in the destination company, the system now recognizes it and skips the copy, preventing duplicate product entries.

Bug Fixes

  • Machine Planogram Template Validation: Fixed an issue where a machine could be created with an empty planogram template, which caused errors downstream. The system now validates that a planogram template is selected before allowing machine creation.

Version: 2026.4.0

Release Date: 04/30/26

What's New

  • N/A

Improvements

  • DetailSales and DetailSalesRaw Row Limit: We added a configurable row limit (default 1,000 rows) to the DetailSales and DetailSalesRaw reports to mitigate slow report loads and CPU spikes. If you need more rows for a specific use case, the limit is configurable and can be increased.

  • Remote Price Change — Clearer Device State Messages: When you push a Remote Price Change and the change does not apply, you now see a distinct message indicating whether the device cannot be found or simply needs to be updated, so the corrective action is clearer.

  • Pepsi CTGSD — Vending Price Populated: We now populate the vending price (vmmr) in the Pepsi CTGSD file that AVLive generates, giving Pepsi-integrated operators complete pricing data in the file output.

Bug Fixes

  • Data Persistence — Company Contact Info and Report Settings: We fixed two related data-persistence issues. Contact information you enter when creating a company is now correctly saved to the Company record itself, not just to the main Operator user. We also fixed several reports that were not retaining your prior settings between runs, so your filter and parameter selections now persist as expected.

ADM

ADM

Version: 26.03.0

Release Date: 4/28/26

What's New

  • We have introduced the ability to initiate an HSA Reset remotely from ADM for Imbera G319 and Minus Forty cabinets. Operators must first email 365vision@365rm.com to request a consent form via email. Once signed and returned, 365 will enable the ability at the Org level. Going forward, any Device within that Org will display an HSA Reset button on the Device Summary page, if the device is currently in an HSA lockout.

  • The Initial Balance concept on the Location Summary page has been updated to now offer Reward Points as another incentivization option. Operators can set a Reward Point balance that will be applied to new consumer accounts that are created at that Location, given that Rewards are in use. This is another method that can be leveraged to entice consumers to create GMA accounts.

  • The consumer pay apps recently introduced a verified phone number concept, which allows users to enter and verify their number. Within ADM, we have updated the Phone Number fields on the Consumer Search grid and the Consumer Summary page to indicate whether the phone number listed has been verified by the user.

Improvements

  • For International operators, the 365Payments Reconciliation and 365Payments Monthly Statement reports have been updated to provide more complete and reliable financial data to reconcile disbursements. These updates will provide more accurate tax and terminal information, as well as importantly making the report generate via payout dates and not the transaction date.

  • The Rewards History grid on the Consumer Summary page has been updated with a couple of changes. First, the grid will now show earned points via Sales, in addition to the redeemed points. Secondly, the grid has had a bug fixed that prevented some redemptions from not displaying if the Product Tier Points value had been changed on the overall Rewards program.

Bug Fixes

  • General bug fixes.

MobileMarket

Version: 26.02

Release Date: 04/30/26

What's New

  • New ADM powered Age Verification platform functionality launched for CV devices:
    • New functionality will leverage age verification configuration from ADM, where Hotel/Hospitality operators can create custom QR codes for either single use or multi use session durations.

    • Consumers will be given a QR code on check-in (pending manual ID check) and can present this at the cooler, verifying they are of age to shop. Once validated, the consumer will be allowed access and can continue with their normal pre-auth payment flow, purchasing restricted age products without further verification.
