Purpose
This article outlines the steps for Operators to use when setting up Enterprise Menu Sharing in the 365 Catering Back Office site.
Process
Enterprise Menu Sharing allows Organizations with multiple locations to distribute menus from a designated Master Account to one or more Receiving Accounts. Instead of creating and maintaining the same menu in multiple locations, administrators can manage a single menu and share it across participating accounts.
Menu Sharing uses tag based sharing rules to determine which menus are distributed and which Enterprise accounts receive them.

Prerequisites
Before creating a Menu Sharing Rule, ensure that:
- An Enterprise has already been configured by 365 Catering Support.
- The ability to Switch Accounts has been enabled by 365 Catering Support.
- A Master Account has been set up by 365 Catering Support.
- The menus and menu items to share have been created.
- The menus that are to be shared have a designated tag applied. For more information on tags please reference the article, Add Tags to group Multiple Sites.
If Enterprise Menu Sharing has not yet been configured, contact the Account Manager.
Shared Menu Restrictions
When a menu is shared through Enterprise Menu Sharing, recipient accounts have limited editing capabilities to preserve the centrally managed menu.
- Shared menus cannot be deleted by recipient accounts, either individually or through Bulk Actions.
- Tags cannot be added to or removed from shared menus by recipient accounts.
- These restrictions do not apply to menus that have been configured as a Local Copy, which can be managed independently after the copy has been created.
Create a Menu Sharing Rule
- Sign in to Spoonfed Back Office site.
- Navigate to the designated Master Account.
- Click the profile icon to view the dropdown.
- Click Switch Accounts to switch to the Enterprise Back Office.
- Open the Menu Sharing module.
- Select Share Rules.
- Click Add Share Rule.
Name the Rule
Enter a descriptive name for the sharing rule.
For example:
- Midwest Locations
- Breakfast Menus
- Summer Promotion
Using descriptive names makes it easier to identify and manage multiple sharing rules.
Select Menu Tags
Choose the preselected tag that identifies the menus to distribute.
When configuring the rule, choose how the selected tag should be evaluated:
Must Include: Share only menus that contain the selected tag.
Must Exclude: Share all menus except those containing the selected tag.
Any Of: Share menus that contain any of the selected tags.
Click Create List to move to the next step.
Select Recipient Accounts
Choose the Enterprise account tag that identifies the locations that should receive the shared menus. This is a tag that is applied at the Account level by 365 Catering Support.
Must Include: Share only to accounts with the specified tag.
Must Exclude: Share to all accounts except those containing the selected tag.
Any Of: Share menus to accounts that contain any of the selected tags.
Only accounts associated with the selected Enterprise account tag will receive menus distributed by this rule.
Click Update List to move to the next step.
Set Rules
Select the rules to be applied to menu sharing by clicking the check box next to a rule.
Change Price: Recipient account can override the Enterprise prices. All other fields will be synchronized with Enterprise menu.
Change Tax: Recipient account can override the tax/VAT assigned to the shared item. All other fields will be synchronized with Enterprise menu.
Allow Local Copy: Recipient account can create a fully independent and editable copy that is no longer synchronized with the Enterprise menu.
Click Share to complete the rule.
Synchronize Menus
After creating the sharing rule the Back Office site will go back to the Menu Sharing Module. The sharing rules will distribute shared menus to Recipient accounts overnight but a manual synchronization can also be performed.
- Select Synchronize from the upper right hand corner.
- Wait for the synchronization process to complete. The Synchronize button will turn blue again and the "last updated on" message will update once the sync is complete.
- Once synchronization is finished, verify the changes have been passed.
Depending on the amount of menu data being synchronized, the process may take several minutes to complete.
Verify a Shared Menu
- Open a recipient account.
- Navigate to the Menu Module.
- Locate the shared menu using the tag or menu name.
Shared menus display an Enterprise sharing indicator to identify that the menu is managed by the Enterprise. The indicator will be different based on the sharing rules set up.
Hovering over the indicator displays additional information about the shared menu and whether local edits are permitted based on the configured sharing rules.

Modifier Groups
If a shared menu contains modifier groups, those modifier groups are read-only within Menu > Modifier Groups. Recipient accounts can only update pricing or tax settings when those options have been enabled through the sharing rule.
