Partner Fee for CV Devices

Purpose

This article walks through the Partner Fee feature for CV devices - what it is, how it works, and how to set it up.
 

Overview

Partner Fee is intended for use on CV devices only.

The Partner Fee feature allows Operators to apply a flat fee to eligible CV device transactions; this fee is intended for partner or buying-group programs where an additional transaction fee is collected at checkout.

When enabled, the Partner Fee is added to the consumer’s transaction total on supported CV devices. 365 collects the fee and includes the amount within EFT disbursement processing to the Operator. The Operator is then responsible for distributing those funds to the applicable partner as needed.  
 

Operator Responsibility

365 collects and disburses the Partner Fee amount to the Operator. The Operator is responsible for distributing those funds to the partner organization based on the Operator’s business agreement with that partner. 
 

Process

An overall Partner Fee can be configured and then applied per device. Each Org can have multiple Partner Fee records created.

Please Note: Partner Fee is optional, and only applies when configured.
 

To enable and configure Partner Fee:

  1. A Super User enables the Partner Fee setting on the Org Summary page. The Partner Fee must be enabled at the organization level before it is available for supported device configuration.
     
  2. The Operator configures a Partner Fee in ADM. To do this, the Operator will navigate to the Admin > Applied Fee page. The Operator will create a new record, set the Fee Type as Partner Fee, and set the flat fee amount. (Partner fee is a flat fee, not a percentage.)
     
  3. A Super User sets the Partner Fee to match the desired specific fee that the Operator configured in Step 2, on the Device Summary page in ADM.
     

Once enabled:

  • When a consumer completes a transaction on that device, the configured fee is added to the transaction. 
    (Every sale on the device with a Partner Fee enabled will have the fee applied.)
     
  • The fee appears on the consumer-facing receipt when applied. 
     
  • 365 includes the collected amount in disbursement reporting to the Operator. 
     
  • The Operator receives the collected amount and distributes the funds to the applicable partner outside of 365, as required by their agreement. 
     

EFT and Reporting Updates

The Partner Fee is included in disbursement processing using existing EFT reporting structures, rather than a separate EFT fee column. 
On EFT: GMA Disbursement, Partner Fee is included in the GMA Sales or Credit Sales columns based on payment type. 

There is a new Partner Fee report in ADM that lets users review Partner Fee transactions by:

  • Date range 
  • Location 
  • Device 
  • Transaction ID 
  • Transaction timestamp 
  • Partner Fee amount

Important Reporting Note: The Partner Fee is intended to be disbursed to the Operator, but generally excluded from standard transaction, item, and revenue-style reporting where it should not be treated as Operator sales revenue. (For example, the Cash Flow Details report does not include the Partner Fee within the Total Sales.)
