Scheduled Reports and BEOs

Purpose

The purpose of this article is to outline the process for scheduling reports to be automatically generated and emailed in either PDF or Excel format on a recurring basis (daily, weekly, or monthly) in 365 Catering (Spoonfed) systems.

The initial suite of reports that may be scheduled are:

  • BEOs (Banquet Event Orders)
  • Custom Production Reports
  • Standard Production Reports
  • Custom Order Reports 
     

Process

  1. Navigate to Setup > Scheduled Reports.
     
  2. This main page shows a consolidated view of all scheduled reports, including:
    • Report Type
    • Report Name
    • Frequency (Daily, Weekly, Monthly)
    • Recipients
    • Format (PDF or Excel)
       
  3. From the Scheduled Reports Page, you may view existing, add, edit, or remove an existing report.
     

Creating a Scheduled Report

  1. Navigate to Setup > Scheduled Reports.
     
  2. Click Create Scheduled Report.
     
  3. Choose from available Report Types:
    • BEO Reports – standalone reports.
    • Orders – includes standard and custom order reports.
    • Production Reports – includes standard and custom production reports.
       
  4. Select the specific Report.
     
  5. Configure the Report using available filters.
    • Date Range
      • Today
      • Yesterday
      • Last 7 Days
      • Last 30 Days
      • This Week
      • Last Month
        • Some reports (e.g., BEOs) also support forward-looking ranges like Next Week.
           
    • Site / Branch (Optional)
      • Select one or multiple locations.
         
    • Order Status (if applicable)
      • Available for report types such as Orders, BEOs, and custom reports.
         
  6. Set the Delivery Schedule:
    • Daily
      • Select delivery time
         
    • Weekly
      • Select one or more days of the week
      • Select delivery time
         
    • Monthly
      • Choose either:
        • A specific date (e.g., 15th of each month), or
        • A relative schedule (e.g., first Monday)
      • Select delivery time
         
  7. Add Recipients
    • Enter one or more email addresses to receive the report.
       
  8. Save and confirm your settings.
     

Edit or Delete a Scheduled Report

  1. Navigate to Setup > Scheduled Reports.
     
  2. Click into the Scheduled Report you wish to Edit or Delete.
     
  3. Edit a Report:
    • Open the report configuration
    • Update filters, schedule, or recipients
    • Save changes.
      • A confirmation message will appear after successfully saving changes.
         
  4. Delete a Report:
    • Select delete
      • A warning/confirmation message will appear. Confirm you are on the correct report to be deleted.
