Vending - Premium Payments - Keefe Cards

Purpose

Keefe cards are a payment method for detention centers, which can be enabled for PicoVend vending machines. 
This guide outlines how to configure, manage, and support Keefe functionality at the company and machine levels, as well as key operational behaviors.
 

Process

Company-Level Setup

In order to enable Keefe, it must first be set up at a company level:

  1. Click the My Company dropdown at the top > Company Info. (Admin access is required).

  2. Locate the Keefe checkbox (unchecked by default); check the box to enable Keefe cards for the company.

  3. Enter a PicoVend Custom Button Label. (Maximum 12 characters; required when Keefe is enabled.)
     
  4. Set the Premium Payments Rate (per-transaction fee for Keefe cards).
     
  5. Click Save Changes at the bottom.

Notes

  • The Keefe fields are only visible to Admins; non-admin users do not see Keefe-related fields.
  • If the Keefe checkbox is unchecked: the label field is cleared and disabled.
  • All changes will persist after saving and navigating away.
     

Machine-Level Setup

Once Keefe is enabled at a company level, any Operator can go to a machine and enable Keefe:

  1. Click the Machines tab at the top > select a machine to edit. 
     
  2. In the Info tab, check the box for Keefe to enable it for that machine.

  3. Enter a PicoVend Custom Button Label if desired. (If not, it'll just default to the company name.)
     
  4. Modify values as needed.
     
  5. When finished, click Save changes at the bottom.

Notes

  • Machine-level settings can override company-level values.
  • If the machine label is left empty, the company label will be used automatically.
  • Keefe fields are only visible if enabled at the company level.
  • Keefe changes are available to operators at a machine level.
  • Changes will persist after saving and navigating away.
     

Device Behavior

During device set up or sync, the Keefe label is sent to the device. 
The label used will be the machine-level label if set; otherwise, it will be the company-level label.
 

PicoVend Transaction Flow

  1. Barcode scanning is enabled for Keefe cards.
     
  2. System checks the available card balance.
     
  3. Purchase amount is deducted from stored value.
     
  4. A successful vend is reported upon completion.
     

Using Keefe Cards (PicoVend)

  1. Scan the barcode on the Keefe card.

  2. Enter the card PIN when prompted. then tap SUBMIT.

  3. Make a vend request.

  4. The device performs authorization and confirms PIN and available funds. (If the authorization fails, a message explaining the error will display.)

Resetting a Keefe Card PIN

A Keefe card PIN can be reset on the PicoVend screen itself:

  1. Tap the Keefe button on the device screen (labeled according to what was selected for the PicoVend label).

  2. Tap RESET PIN.

  3. Scan the Keefe card.

  4. Input the Old PIN, New PIN, and Confirm New PIN fields, then tap SUBMIT.

  5. If successful, a confirmation screen will display, showing the PIN has been changed.

Reporting (Reconciliation)

All Keefe transactions appear in operator reconciliation reports. This helps operators verify sales, monitor usage, and resolve discrepancies.

Reports include:

  • Date
  • Time
  • Amount
  • Payment method

Keefe transactions are listed separately from other payment types.

Label Not Showing on Device

  • Confirm machine-level label.
    • If empty, confirm company-level label.
       
    • Re-sync the device.
       

Fields Not Editable

  • Verify the user has admin permissions.
     

Keefe Option Not Visible on Machine

  • Ensure Keefe is enabled at the company level.
     

Unexpected Label on Machine

  • Check for machine-level override.
     
  • If blank, the system defaults to the company label.
