Purpose

The purpose of this article is to show commonly asked questions regarding the ADM Room Charge and Product Itemizers features.
 

FAQ

Is Room Charge enabled by default on my devices? 

  • No. You will need Room Charge enabled by implementation for it to show up as a payment option on screen.
     

Can I accept other payment types along with Room Charge? 

  • Yes. Credit/Debit payments as well as GMA payments can be accepted along with Room Charge. The Guest can simply choose their payment method on the device.
     

What happens when a guest pays with Room Charge? 

  • After the guest enters their Last Name and Room Number, the transaction is posted to their specific guest folio in the Hotels PMS (Property Management System).
    • Any subsequent Room Charge transactions will continue to add to their guest folio until they check-out.
       

What happens when a guest checks out? 

  • On check-out, the guests folio will be closed and charged, which will include all room charge payments made during their stay.
     

What is a Hotel PMS? 

  • A Hotel PMS (Property Management System) is the central software that automates and manages a hotel's daily operations, from guest check-in/out, bookings, and room assignments to billing, housekeeping, and performance reporting.
     

Can a guest pay with Room Charge if the device is offline? 

  • No. The device and hotel PMS system must be online to validate the guests credentials in real time, otherwise a room charge transaction cannot be authorized.
     

Can a guest pay with Room Charge once they’ve checked out? 

  • No. The guest must be checked in and have an active guest folio open for room charge transactions to successfully post.
     

How does Room Charge work on CV devices? 

  • Guests will select “Room Charge” payment before accessing the locked cabinet. Once credentials are validated, the door will unlock and they can shop as usual. Once the doors are closed, the transaction will finalize and post to the guest folio.
     

Where I can view Room Charge transactions in ADM? 

  • In ADM, room charge payments will be visible in existing sales reports with payment type reporting including. A new payment type of “ROOM” will be used to differentiate
    • Additionally, a new Room Charge report has been added to ADM. This report shows all transactions completed via Room Charge, and the corresponding information about the guest.
       

Can I use a PicoMarket for front desk transactions? 

  • Yes. To capture Front Desk sales within your market, a PicoMarket is a great option. Hotel staff can scan items on the PicoMarket and assign to the guests room.
     

Are promotions and discounts respected with Room Charge payments? 

  • Yes. The transaction total will be calculated according to any active promotions or discounts before being posted to the guests folio
     

Why do I need to load itemizers for each item in ADM? 

  • Itemizers are mandatory fields required to sell items through a Hotel PMS. They enable Hotels to correctly assign tax by category group
     

Can I sell items with room charge without Itemizers mapped in ADM? 

  • No. To sell an item using room charge payments, itemizer categories and sub-categories must be mapped in ADM. Items can still be sold with credit/debit and/or GMA, but Room charge will not be authorized.
     

Many of my items itemizers are pre-populated, why is that? 

  • We have an extensive database of items with itemizers already set. We auto-populate those already mapped to save you time on setup.
     

How often do itemizers sync once loaded? 

  • You can manually sync once you’ve updated any new itemizers, otherwise we will push a sync twice per day.
     

How do I know if a Product is missing an itemizer? 

  • Email alerts can be configured to trigger when a Product is missing an itemizer via the Notification Center in ADM. Every night, an automatic check will be performed and will flag and notify operators of any missing itemizers.
     

Can I set Itemizers in my VMS? 

  • No. Itemizers must be set in ADM once product catalogs are sync’d.
