Introduction
This guide explains how to track and record inventory updates, which will help eliminate possible discrepancies in the inventory recording process.
Reset On Hand Quantity Numbers
If you notice discrepancies in your inventory tracking, the best way to correct the issue is to use the following steps to reset your inventory tracking:
1. On your next visit to your vending machine, take note of the Current On Hand amounts for each product.
2. Make sure you record the Date and Time that you visited the machine.*
3. Access your machine inventory on AV Live, and update your inventory numbers.
4. We recommend using the Update On Hand Quantity tool to update your inventory.
- The Update On Hand Quantity tool will allow you to completely reset your Current On Hand numbers.
- Only use the Quantity Added and Update to Par tools when you know you have an absolutely accurate inventory record.
5. Follow steps one through four on your next few visits. Take specific notes if any Current On Hand numbers are incorrect.
IMPORTANT:
- If an AirVend device loses MDB communication with the Vending Machine, no sales will be recorded, which will affect the inventory. Be sure that the device is communicating properly with the vending machine, and that the device has a good connection to the internet. - *Setting the correct Date and Time on your inventory updates is absolutely critical to maintaining an accurate inventory.

Update Tool 1: Update On Hand Quantity
Updating the On Hand Quantity gives you the most control of your inventory update. Instead of adding to the product count, it will reset the count to any number you input (the actual current on-hand numbers in the vending machine).
To update the On Hand Quantity:
1. Open the My Machines view.
2. Select Edit in the Inventory column.
3. When the Edit Inventory page has loaded, switch to the Update On Hand Quantity tool. The page will reload, and an editable field titled On Hand will display under each product.
Adjusting this number will set the Current On Hand number for your product.
4. Set the Date and Time to match the most recent machine restocking time and date.
Note: If this date and time is not accurately set, the inventory will not be correct for this update, and may cause all subsequent inventory updates to be incorrect.
5. When all product On Hand numbers have been entered, scroll to the bottom of the page and select Update.
Update Tool 2: Quantity Added
Quantity Added is a lighter tool, used to adjust inventory. Quantity Added allows you to record the number of products added to a vending machine.
Instead of resetting the Current On Hand numbers, Quantity Added will add to the Current On Hand numbers.
To access the Quantity Added tool.
1. Open the Edit Inventory page.
2. Set the input tool to Quantity Added (seen above).
3. Set the Date and Time to match the most recent machine restocking time and date.
NOTE: If this Date and Time is not accurately set, the inventory will not be correct for this update, and may cause all subsequent inventory updates to be incorrect.
4. The Qty Added field will display below each product. Enter the number of products added to the machine during the restocking process.
The number entered in this field will be added to the Current On Hand. It can add up to Par, which is the maximum amount of product for that machine.
5. When all product Qty Added numbers have been entered, scroll to the bottom of the page and select Update.
Update Tool 3: Update to Par
Update to Par is the quickest tool to use for updating inventory. When using the Update to Par tool, all product Current On Hand numbers will be updated to match Par.
To use the Update to Par tool:
1 Open the Edit Inventory page.
2. Set the date and time to match the latest machine restock.*
3. Select the Update to Par button.
4. Set the Date and Time to match the most recent machine restocking time and date.
NOTE: If this Date and Time is not accurately set, the inventory will not be correct for this update, and may cause all subsequent inventory updates to be incorrect.
