Purpose

This article outlines the process for enabling warehouse filtering, setting up regions for filtering, and restricting users to a specific warehouse.
 

Process

Assigning a user to specific warehouses is now more efficient and scalable than the previous one-by-one assignment process. Warehouses can now be assigned to, and filtered by, regions.
 

Restricting A User To Specific Warehouses

Assigning a user to multiple warehouses is more now efficient. Specifically assigning a user to at least one warehouse restricts them from accessing any others to which they are not specifically assigned.

To restrict a user to one or more specific warehouses:

  1. Navigate to Settings > Users.
     
  2. Click the Pencil icon to edit the user.
     
  3. Click the Warehouse & Truck Restrictions tab.

  4. Select a region on the left to view its associated warehouse(s).

  5. Search for and check the boxes next to each warehouse to which the user should be assigned. Selecting a warehouse shows the Selection Summary below, which shows the number of regions, warehouses and trucks the user will be assigned to when changes are saved.

  6. Repeat steps 4 and 5 until all necessary warehouse selections have been made.
     
  7. Click the Save changes button. The user is now restricted to accessing only those warehouses that were selected.

Not seeing the right Trucks? Make sure it is assigned to the route to which the warehouse is also assigned.
 

Organizing Warehouses By Regions

Regions are a new way to organize warehouses.

To view warehouse in different regions, Navigate to Settings > Warehouse > Warehouses. 

To add a new region:

  1. Navigate to Settings > Warehouse > Warehouses.
     
  2. Click the Add Region button. The Create New Region modal appears.

  3. Enter a unique Region Name. Optionally enter a description for the new region.

  4. Click the Create button. The new region is now added to the top of the screen.
     

A warehouse cannot be assigned to multiple regions at once. Assigning a warehouse to a region unassigns it from all other regions.

To add one or more warehouses to a region:

  1. Navigate to Settings > Warehouse > Warehouses.
     
  2. Check the box in the left column to select each warehouse to reassign to a different region. The Bulk Action Bar appears at the bottom of the screen after at least one warehouse is selected.
     
  3. Click the Assign to Region drop-down menu to select a region, then select the region to reassign the selected warehouse(s).

  4. Click the OK button on the prompt that asks "Are you sure you want to reassign the selected warehouses to this region?". The prompt changes to state "Success! Warehouses reassigned."
     
  5. Click the OK button to close the prompt. The warehouse has now been reassigned to the specified region.
     

The Warehouse Filter

A new Warehouse Filter drop-down submenu for the VMS navbar may be toggled per-user. When enabled, a user may search for and select a warehouse using this submenu. Only those trucks, routes, locations, and assets associated with the selected warehouse are then visible. Even products in the product catalog that are not found in the planograms of filtered assets will be set to inactive.

To enable the Warehouse Filter drop-down menu for a user:

  1. Navigate to Settings > Users.
     
  2. Click the Pencil icon to edit the user.
     
  3. Check the box labeled Allow warehouse view filtering under View Permissions.

  4. Click Save changes.
     

To filter the VMS to a specific warehouse:

  1. Click the Warehouse Filter in the navbar.
     
  2. Search for and/or select a warehouse. After selection, the VMS reloads and any routes, locations, trucks or assets not associated with the selected warehouse are now hidden from view.

To revert any changes, return to the Warehouse Filter and select All Warehouses.
