Parlevel - OCS Route Management Enhancements (VMS) - Operator Guide

Purpose

This guide explains how to use the new OCS Route Management features in Parlevel VMS, delivered under VMS-7990. These enhancements bring OCS (Office Coffee Service) route management to parity with vending machine workflows, making daily adjustments easier for operators.

Prerequisites

Tools & Access

  • Access to Parlevel VMS with dispatcher, route manager, or supervisor permissions.

  • Ability to open VMSOperationsRoutes.

Knowledge Needed

  • Know how to identify OCS stations and orders within a route.

  • Understand the difference between removing a location, a station, and an order.

  • Be aware that route changes impact route financials and reporting in real time.


Process

Move an OCS Station to Another Route

Purpose: Assign a station to a different active route, similar to moving vending machines.

Steps:

  1. Open VMSRoutes and select the source route.

  2. Locate the OCS Station in the Stations list.

  3. Open the station’s action menu (or Actions).

  4. Select Move Station to Route.

  5. Choose the destination route from the list.

  6. Confirm the move.

  7. Verify:
    1. The station is removed from the source route.

    2. The station now appears in the destination route’s station list.

Notes:

  • No need to delete the whole location to move a station.

  • This process mirrors the vending machine workflow.

  • If the option is missing, check user permissions and ensure you’re in the station’s action menu (not the machine menu).


Reroute Unserviced Stations After Finishing a Route

Purpose: Quickly reassign unserviced stations when a route ends (manually or automatically).

Steps:

  1. Finish the in-progress route (Finish Route or Manually Finish).

  2. In the summary, review the Unserviced stations.

  3. Click Reroute Unserviced.

  4. Select the destination route.

  5. Confirm the re-assignment.

  6. Verify:
    1. The finished route shows zero unserviced stations.

    2. Those stations appear on the destination route.

Notes:

  • The Reroute Unserviced option only appears once the route is finished.

  • This ensures coverage continuity without missed stops.


Remove an OCS Order From a Route

Purpose: Remove an order without deleting the entire location.

Steps:

  1. Go to the active route.

  2. Find the station containing the OCS order.

  3. In the order-level view, open the action menu for the order.

  4. Select Remove Order (red X icon).

  5. Review the confirmation modal: “Remove this OCS order from the route? This cannot be undone.”

  6. Choose Remove to confirm or Cancel to stop.

  7. Verify:
    1. The order is no longer listed.

    2. Route totals and financials update immediately.

Notes:

  • If only one order exists at the location, removing it may require removing the location.

  • The system provides clear warnings to avoid mistakes.


Troubleshooting

  • Station/Order not visible: Refresh and verify permissions.

  • No Reroute option: Ensure the route is finished.

  • Metrics not updating: Check for UI error messages; escalate if unresolved.
