Purpose

This article explains the Enhanced Rewards feature and the process behind setting it up. 

Overview

Introducing 365 Enhanced Rewards – a fully customizable, points-based loyalty program that lets Operators reward customers with free products and drive repeat visits. With flexible tiers, location-specific control, and seamless app and kiosk integration, it's designed to boost engagement and revenue effortlessly.

Cost to Operator

There are no program fees associated with the enhanced rewards system. The only cost to the Operator is the value of the products redeemed as rewards.

  • Product Rewards: The Operator covers the cost of products given away as rewards.

  • Account Credit Rewards: Account credit amounts are charged to Operators as an Account Adjustment via the EFT Disbursement.

Process

No Support assistance is required to set up the enhanced rewards program. Operators can:

  • Set up enhanced rewards for locations that did not previously have a rewards system.

  • Transition a location from legacy loyalty to the enhanced rewards system.

The subsections below provide detailed instructions for each scenario.

Configuring a Rewards Program

Step 1: Create a Rewards Program

  1. Log in to ADM.

  2. Click the Admin tab.

  3. Select Rewards.

  4. Click Create New.

  5. Enter a unique name for the rewards program.

  6. At this stage, you can select the locations where the program will be enabled. Each location can only have one rewards program associated with it. By selecting the desired location(s), you can:

    • Convert locations currently using Legacy Loyalty to the Enhanced Rewards system.

    • Convert locations using a different Enhanced Rewards program to the one you are currently creating.

  7. Tap Save & Next.

Important Note Regarding Legacy Loyalty Transition

  • Locations with Loyalty Status = On are using Legacy Loyalty.

  • If you include these locations, you will see a warning: “Some selected locations currently have Loyalty enabled. If you proceed, Loyalty will be disabled and replaced with this Rewards Program."

  • When a location transitions from Legacy Loyalty to the Enhanced Rewards program, keep the following in mind:

    • No automatic point conversion – Existing points are not transferred from the Legacy system into the Enhanced Rewards system.

    • Encourage customers to cash out – Operators should notify consumers to manually redeem their points before the transition.

    • Quarterly cashout applies – Any accounts with remaining points at the time of conversion will be included in the next scheduled quarterly cashout, adding the funds to the consumer’s account.

    • Unredeemed low balances – If a consumer’s point balance does not meet the redemption threshold, those points will be forfeited.

    • Finalized conversion – Once the conversion and cashout are complete, balances cannot be restored.

After clicking Save & Next, the new program is created and assigned to the selected location(s). You can then configure Status Tiers, Product Tiers, and Product Images.

Step 2: Set Up Status Tiers

Rewards Status Tiers represent different levels a consumer can reach over time. Tiers are based on cumulative points earned within a calendar year, and each tier provides a different incentive.

  • Tier 1 – Hardcoded name: Member. Grants 10 points per $1 spent.

  • Tier 2 – Customizable name. Grants 11 points per $1 spent.

  • Tier 3 – Customizable name. Grants 12 points per $1 spent.

  • Tier 4 – Customizable name. Grants 13 points per $1 spent.

In ADM, you can define how many points are required to reach each tier.

Note: Tier icons are not customizable.

Step 3: Set Up Product Tiers / Reward Products

Product Tiers define the rewards consumers can redeem with their points.

  • The number of points required for each tier is customizable.

  • Rewards can be set as free products or account credits.
    • Account credit rewards can be configured up to $10. A Cash Reward allows consumers to directly credit their GMA account.

  • When a reward is redeemed, the required points are deducted from the user’s balance.

Step 4: Upload Images for Reward Products

You can upload images for reward products to display in the app. (Account credit rewards cannot have images.)

  • If no image is uploaded, a placeholder icon will display.

  • If an image is uploaded, it will appear for the reward product in the app.

Image Requirements

Size: 201 × 201 px (1:1 ratio required)

File Types: JPG, PNG

File Size: < 2MB

Step 5: More Ways to Earn

The More Ways to Earn section allows you to set up optional bonus earning methods that encourage user engagement.

  • If no methods are configured, the More Ways to Earn tab will not appear on the Rewards page of the app.

  • If at least one method is configured, the tab will be visible to users on the Rewards page.

Available Methods to Configure:

  • Add credit card to wallet
  • Load wallet with X or more
  • Add birthday to your account
  • Activate auto reload
  • Fill out app survey
  • Purchase streak
  • Come back soon bonus
  • Spend X or more
  • Add your phone number

You can configure as many of these earning methods as you’d like – or none at all. The configuration is completed as part of the Reward program setup flow in ADM.

To Access the Setup:

  1. Log in to ADM.

  2. Complete the initial steps of your reward program setup.

  3. When you reach Step 5 of the flow, you’ll see the More Ways to Earn configuration section.

  4. Click the plus (+) icon to add a new method.

  5. From the Select a New Way to Earn dropdown, choose the desired method.

  6. Configure the method-specific options as prompted.

Each of the following sections provides specific configuration guidance for each earning method.

 

Add Credit Card to Wallet

This earning method allows users to earn reward points for adding a credit or debit card to their wallet through the More Ways to Earn flow.

Configuration Steps

  1. Set the reward amount – Specify how many reward points the user will earn.

  2. Set an end date – Choose an expiration date for this earning method or set it to run indefinitely. If an end date is set, the method will no longer appear in the app for redemption on that date.

  3. Click Save to apply your settings.

ADM - Rewards - Add Credit Card to Wallet Create

User Experience

  • Users only earn points if they add their card by navigating to Rewards → More Ways to Earn → Add credit card to wallet.

  • If a user adds a card through any other path in the app, they will not earn points.

  • If a user already has a card saved, they will not receive points for that existing card.

  • This method can be redeemed only once per user.

Load Wallet with X or More

This earning method allows users to earn reward points when they fund their wallet with at least the specified minimum amount in a single funding event through More Ways to Earn.

Configuration Steps

  1. Set the minimum funding amount – Define the minimum amount the user must load into their wallet in one funding event to earn the reward.

  2. Set the reward amount – Specify how many reward points the user will earn.

  3. Set an end date (optional) – Choose an expiration date for this earning method or set it to run indefinitely. If an end date is set, the method will no longer appear in the app for redemption on that date.

  4. Set max redemptions – Specify how many times a user can claim this reward. This defaults to Unlimited, but you can set a custom limit (e.g., 1) if you want the user to earn points only once.
    1. If set to Custom and 1 is selected, the user can redeem this reward only once.

    2. If set to Custom and a number greater than 1 is selected, the user can redeem this reward up to that number of times.

    3. If set to Unlimited or greater than 1, the user can redeem this reward an unlimited number of times.

  5. Click Save to apply your settings.

ADM - Rewards - Load Wallet with X or More

User Experience

  • Users only earn points if they fund their wallet by navigating to Rewards → More Ways to Earn → Load wallet with X or more.

  • If users add funds through any other part of the app, they will not earn points.

  • Redemption limits depend on your ADM configuration:
    • If a custom number of redemptions is set, the tile will display as Completed once the user has performed the action that number of times and earned the reward.

    • If unlimited redemptions are allowed, the tile will reset after each completion, allowing users to perform the action again and continue earning additional rewards.

Add Birthday to your Account

This earning method allows users to earn reward points for adding their birthday to their account through the More Ways to Earn flow.

Configuration Steps

  1. Set the reward amount – Specify how many reward points the user will earn.

  2. Set an end date (optional) – Choose an expiration date for this earning method or set it to run indefinitely. If an end date is set, the method will no longer appear in the app for redemption on that date.

  3. Click Save to apply your settings.

ADM - Rewards - Add Birthday

User Experience

  • Users only earn points if they add their birthday by navigating to Rewards → More Ways to Earn → Add birthday to your account.

  • If a user adds their birthday through any other path in the app, they will not earn points.

  • Users who already have their birthday on their account will not see this earning method.

  • This method can be redeemed only once per user.

Activate Auto Reload

This earning method allows users to earn reward points when they fund their wallet via auto reload through More Ways to Earn with at least the specified minimum amount, which can be spread over one or more funding events.

Configuration Steps

  1. Set the minimum funding amount – Define the minimum total amount the user must load into their wallet via auto reload (across one or more funding events) to earn the reward.

  2. Set the reward amount – Specify how many reward points the user will earn.

  3. Set an end date (optional) – Choose an expiration date for this earning method or set it to run indefinitely. If an end date is set, the method will no longer appear in the app for redemption on that date.

  4. Set max redemptions – Specify how many times a user can claim this reward. This defaults to Unlimited, but you can set a custom limit (e.g., 1) if you want the user to earn points only once.

    1. If set to Custom and 1 is selected, the user can redeem this reward only once.

    2. If set to Custom and a number greater than 1 is selected, the user can redeem this reward up to that number of times.

    3. If set to Unlimited or greater than 1, the user can redeem this reward an unlimited number of times.

  5. Click Save to apply your settings.

ADM - Rewards - Activate Auto Reload

User Experience

  • Users only earn points when they fund their wallet via auto reload through Rewards → More Ways to Earn → Activate auto reload.

  • If a user has already turned on Auto Reload outside of this rewards flow, the tile will not display.

  • Redemption limits depend on your ADM configuration:
    • If a custom number of redemptions is set, the tile will display as Completed once the user has performed the action that number of times and earned the reward.

    • If unlimited redemptions are allowed, the tile will reset after each completion, allowing users to perform the action again and continue earning additional rewards.

Fill out App Survey

This earning method allows users to earn reward points by completing an app survey through More Ways to Earn.

Configuration Steps

  1. Set the reward amount – Specify how many reward points the user will earn.

  2. Set an end date (optional) – Choose an expiration date for this earning method or set it to run indefinitely. If an end date is set, the method will no longer appear in the app for redemption on that date.

  3. Set max redemptions – Specify how many times a user can claim this reward. This defaults to Unlimited, but you can set a custom limit (e.g., 1) if you want the user to earn points only once.
    1. If set to Custom and 1 is selected, the user can redeem this reward only once.

    2. If set to Custom and a number greater than 1 is selected, the user can redeem this reward up to that number of times.

    3. If set to Unlimited or greater than 1, the user can redeem this reward an unlimited number of times.

  4. Set the survey question(s) – Enter the question(s) you want to ask the end-user. After the ADM release on November 13th, 2025 , responses will be visible in the Reward Earning report within ADM, along with the user’s first and last name and email address.

  5. Click Save to apply your settings.

ADM - Rewards - Fill Out App Survey

User Experience

  • Users can only access this app survey by navigating to Rewards → More Ways to Earn → Fill out app survey.

  • Users must answer all configured questions in order to successfully submit their survey responses and earn reward points.

  • Redemption limits depend on your ADM configuration:
    • If a custom number of redemptions is set, the tile will display as Completed once the user has performed the action that number of times and earned the reward.

    • If unlimited redemptions are allowed, the tile will reset after each completion, allowing users to perform the action again and continue earning additional rewards.

Purchase Streak

This earning method allows users to earn reward points by completing a set number of purchases through More Ways to Earn.

Configuration Steps

  1. Set the number of purchases – Define how many transactions a user must make to complete the reward and earn points.

  2. Set the reward amount – Specify how many reward points the user will earn.

  3. Set an end date (optional) – Choose an expiration date for this earning method or set it to run indefinitely. If an end date is set, the method will no longer appear in the app for redemption on that date.

  4. Set max redemptions – Specify how many times a user can claim this reward. This defaults to Unlimited, but you can set a custom limit (e.g., 1) if you want the user to earn points only once.
    1. If set to Custom and 1 is selected, the user can redeem this reward only once.

    2. If set to Custom and a number greater than 1 is selected, the user can redeem this reward up to that number of times.

    3. If set to Unlimited or greater than 1, the user can redeem this reward an unlimited number of times.

  5. Click Save to apply your settings.

ADM - Rewards - Purchase Streak

User Experience

  • Users only earn points by completing the required number of transactions by navigating to Rewards → More Ways to Earn → Purchase streak.

  • Transactions must be made by navigating to the Rewards page, selecting More Ways to Earn, and then choosing the Purchase Streak tile.

    • Purchases made outside of this rewards flow do not count toward the streak.

    • Qualifying purchases include those made through the flow mentioned above using the app account, such as:
      • App QR code (at kiosk)
      • Scan and Pay
      • Dining
      • Vending

  • Redemption limits depend on your ADM configuration:
    • If a custom number of redemptions is set, the tile will display as Completed once the user has performed the action that number of times and earned the reward.

    • If unlimited redemptions are allowed, the tile will reset after each completion, allowing users to perform the action again and continue earning additional rewards.

Come Back Soon Bonus

This earning method allows users to earn reward points by making a purchase within a specified number of days since their last purchase via More Ways to Earn.

Configuration Steps

  1. Set the number of days since last purchase – Define the time window in which a user must make a purchase since their previous transaction to qualify for the reward.
    1. The first purchase made through this flow sets the start date but does not earn the “Come Back Soon” bonus.

    2. The second purchase made within the configured number of days qualifies for the bonus.

  2. Set the reward amount – Specify how many reward points the user will earn.

  3. Set an end date (optional) – Choose an expiration date for this earning method or set it to run indefinitely. If an end date is set, the method will no longer appear in the app for redemption on that date.

  4. Set max redemptions – Specify how many times a user can claim this reward. This defaults to Unlimited, but you can set a custom limit (e.g., 1) if you want the user to earn points only once.
    1. If set to Custom and 1 is selected, the user can redeem this reward only once.

    2. If set to Custom and a number greater than 1 is selected, the user can redeem this reward up to that number of times.

    3. If set to Unlimited or greater than 1, the user can redeem this reward an unlimited number of times.

  5. Click Save to apply your settings.

ADM - Rewards - Come Back Soon Bonus

User Experience

  • Users only earn points by making purchases through Rewards → More Ways to Earn → Come back soon bonus.

  • The first purchase through this flow sets the start date but does not earn the bonus.

  • The second purchase (and subsequent purchases, if allowed) will qualify for the bonus only if made through this flow and within the configured number of days since the last qualifying purchase.

  • If users makes a purchase through any other flow, they will not earn points.

  • Qualifying purchases include those made through the flow mentioned above using the app account, such as:
    • App QR code (at kiosk)
    • Scan and Pay
    • Dining
    • Vending

  • Redemption limits depend on your ADM configuration:
    • If a custom number of redemptions is set, the tile will display as Completed once the user has performed the action that number of times and earned the reward.

    • If unlimited redemptions are allowed, the tile will reset after each completion, allowing users to perform the action again and continue earning additional rewards.

Spend X or More

This earning method allows users to earn reward points when they spend a specified dollar amount or more in a single transaction via More Ways to Earn.

Configuration Steps

  1. Set the dollar amount – Define the minimum amount the user must spend in one transaction to complete the reward and earn points.

  2. Set the reward amount – Specify how many reward points the user will earn.

  3. Set an end date (optional) – Choose an expiration date for this earning method or set it to run indefinitely. If an end date is set, the method will no longer appear in the app for redemption on that date.

  4. Set max redemptions – Specify how many times a user can claim this reward. This defaults to Unlimited, but you can set a custom limit (e.g., 1) if you want the user to earn points only once.
    1. If set to Custom and 1 is selected, the user can redeem this reward only once.

    2. If set to Custom and a number greater than 1 is selected, the user can redeem this reward up to that number of times.

    3. If set to Unlimited or greater than 1, the user can redeem this reward an unlimited number of times.

  5. Click Save to apply your settings.

ADM - Rewards - Spend X or More

User Experience

  • Users only earn points by making purchase of at least the specified amount through Rewards → More Ways to Earn → Spend X or more.

  • The minimum transaction amount must be met in a single transaction.

  • Purchases made through any other flow do not qualify for points.

  • Qualifying purchases include those made through the flow mentioned above using the app account, such as:
    • App QR code (at kiosk)
    • Scan and Pay
    • Dining
    • Vending

  • Redemption limits depend on your ADM configuration:
    • If a custom number of redemptions is set, the tile will display as Completed once the user has performed the action that number of times and earned the reward.

    • If unlimited redemptions are allowed, the tile will reset after each completion, allowing users to perform the action again and continue earning additional rewards.

Add your Phone Number

This earning method allows users to earn reward points when they add their phone number to their account by navigating to More Ways to Earn. Only applicable for US and Canada.

Configuration Steps

  1. Set the reward amount – Specify how many reward points the user will earn.

  2. Set an end date (optional) – Choose an expiration date for this earning method or set it to run indefinitely. If an end date is set, the method will no longer appear in the app for redemption on that date.

  3. Click Save to apply your settings.

ADM - Rewards - Add Phone Number

User Experience

  • Users only earn points if they add their phone number by navigating to Rewards → More Ways to Earn → Add your phone number.

  • If a user adds their phone number through any other path in the app, they will not earn points.

  • Users who already have their phone number added to their account will not see this earning method.

  • Users outside of US or Canada will not see this earning method.

  • This method can be redeemed only once per user.

Converting from Legacy to Enhanced Rewards

Conversions can be completed through either Admin > Rewards.

  1. Navigate to the Admin tab.

  2. Select Rewards.

  3. Choose an existing rewards program or click Create New.

    • Locations with Loyalty Status = On are using Legacy Loyalty.

    • If you include these locations, you will see the following warning: “Some selected locations currently have Loyalty enabled. If you proceed, Loyalty will be disabled and replaced with this Rewards Program.”

    • If you continue, the locations will be converted automatically once you save.

When a location transitions from Legacy Loyalty to the Enhanced Rewards program, keep the following in mind:

Earning & Point Calculation by Status Tier

Our rewards program lets consumers earn points on eligible product purchases. The number of points earned per dollar depends on the user’s Status Tier, which is based on the total points earned within a calendar year. As users move up tiers, they earn more points per dollar, encouraging repeat visits and purchases.

  • All users begin as a Member (Tier 1).

  • The names of higher tiers and the points required to reach them are customizable in ADM.

Product Multipliers

Each product has a default point multiplier of 1x. This can be adjusted at the product-level in ADM:

  • Increased for products a location wants to promote.

  • Decreased to 0 for products that should not earn rewards.

The product multiplier works in combination with the tier multiplier.

Points Earned Per Tier (default setup)

  • Tier 1 : 10 points per $1 spent

  • Tier 2: 11 points per $1 spent

  • Tier 3: 12 points per $1 spent

  • Tier 4: 13 points per $1 spent

Example

The table below shows how points are calculated for a purchase of three products with different product multipliers. This demonstrates how both the tier multiplier and product multiplier factor into the calculation.

Important Notes

  • Point calculation is based on rates defined in ADM, using both the tier multiplier and the product multiplier.

  • Points are earned only on the discounted product price (after promotions/discounts).

  • Taxes, deposits, and special fees do not earn points.

  • Points are rounded down to the nearest whole number.
    • Example: $2.53 spent at Tier 1 (10 pts/$1) = 25 points.

  • GMA must be used as the payment method. Eligible balances include consumer balance, subsidy, and payroll deduct funds.

  • Users earn points only when purchasing at:
    • Their home location (the location tied to their account in ADM), or
    • Other locations that are part of the same rewards program. If a location is not in the same rewards program, the purchase will not earn points.

Status Tier & Point Expiration

  • A consumer’s Status Tier is valid for one calendar year and resets at the start of the next year.

  • Redeemable points remain valid as long as at least one purchase is made within a 6-month period.

  • If no purchase is made within 6 months:
    • Redeemable points expire and reset to zero.
    • Expired points still count toward Status Tier progress for that calendar year.

Reward Redemption

Rewards can be redeemed in multiple ways through the mobile app:

  • At a kiosk by scanning the in-app reward QR code

  • In-app via Scan Product (Scan & Pay)

  • In-app via Order Now/Ahead

Redemption rules:

  • Users may only redeem rewards at their home location (the location tied to their account in ADM), provided the product is available.

  • Rewards can also be redeemed at other locations that participate in the same rewards program, as long as the product is available.

  • Rewards cannot be redeemed at locations outside of the consumer’s rewards program.

  • The redemption method buttons displayed to the user in the app depend on the services available at locations within the rewards program, or on nearby beacon detection.

Redeem at Kiosk

The Scan at kiosk redemption button is always available for every reward product, regardless of available services at participating locations or beacon availability.

Redemption flow:

  1. In the app, the user selects the reward product they want to redeem.

  2. The reward redemption tray opens. The user taps Scan at kiosk, which displays on-screen instructions and the reward redemption QR code.

  3. At the kiosk, the user scans the physical product’s barcode.

  4. Next, the user scans the reward QR code from the app.

  5. The kiosk confirms the item is free.

  6. Even if the transaction total is $0, the user must complete checkout. They can scan their account QR code from the app to do so (via the Pay at kiosk button).

Notes:

  • Reward products can only be redeemed at locations that participate in the same rewards program.

  • The UPC for the product in the cart must match the reward product UPC in order for the reward to apply.

  • If a user attempts to redeem a reward at a location that is not part of their rewards program, or if their cart does not contain the correct reward product, an error message will appear on the kiosk stating that the product is not available for redemption at that location.

Redeem via Scan Product (Scan & Pay)

The Scan product button displays based on geolocation.

  • Users must have location services enabled.

  • The button displays only when a participating beacon is within proximity.

Redemption flow:

  1. In the app, the user selects the reward product they want to redeem.

  2. The reward redemption tray opens. The user taps Scan product, which may direct them to:

    • The location selection screen (if multiple beacon locations are nearby)

    • Directly into Scan & Pay flow (if only one beacon location is detected)

  3. Once in the Scan & Pay flow, the reward product is automatically added to the cart as free.

  4. Even if the transaction total is $0, the user must complete checkout by tapping the Pay button.

Notes:

  • Reward products can only be redeemed at locations that participate in the same rewards program.

  • The UPC for the product in the cart must match the reward product UPC in order for the reward to apply.

  • If a user attempts to redeem a reward at a location that is not part of their rewards program, or if their cart does not contain the correct reward product, an error message will appear in the app stating that the product is not available for redemption at that location.


Redeem via Order Ahead / Order Now

The Add to Mobile Order button is displayed if at least one location in the rewards program has Order Ahead or Order Now for mobile enabled in ADM.

Redemption flow:

  1. In the app, the user selects the reward product they want to redeem.

  2. The reward redemption tray opens. The user taps Add to mobile order, which directs them to the Mobile Order Location screen.

  3. The user selects the location they are ordering from. Locations displayed include:
    Nearby locations (if user has location services enabled)
    Locations from the user’s Recent Locations list that have Order Ahead or Order Now enabled and are part of the rewards program

  4. After selecting the location, the user chooses the pickup location and pickup time.

  5. Once the location, pickup location, and pickup time are set, the reward product is automatically added to the cart as free.

  6. After the reward product is added to the cart, the user can continue adding items or checkout with only the reward product.
    Even if the transaction total is $0, the user must complete checkout by tapping the Pay button.

Notes:

  • Reward products can only be redeemed at locations that participate in the same rewards program.

  • The UPC for the product in the cart must match the reward product UPC in order for the reward to apply.

  • If a user attempts to redeem a reward at a location that is not part of their rewards program, or if their cart does not contain the correct reward product, an error message will appear in the app stating that the product is not available for redemption at that location.

Reporting

  • Reward products will report the full product price on the sale record. The associated payment method will be for the price of the product. This will prevent $0 transactions from showing up and skewing data.

  • The Balance Report will include the outstanding point balances that consumers have. Additionally, the Consumer Search grid will show Reward points.

  • Account credit redemptions are tracked as an Account Adjustment.
    • Check the Account Adjustment Report for a full view of any redemptions.
    • The Balance history of the individual's Consumer Summary Page will also should any account adjustments.

  • Account credit amounts are charged to Operators as an Account Adjustment via the EFT Disbursement.
