Purpose
This article explains how to repeat existing orders in the Order Module, allowing Operators to quickly create one-time or recurring orders without manually recreating them each time. It covers the available repeat frequencies, recurring order setup options, order confirmation process, and how to manage recurring orders through the Back Office.
Process
Order Module
Sometimes a Customer needs the same order fulfilled for one or multiple dates. Rather than create a new order for each date, an order can be repeated in the Back Office.
- Go to the Orders Module.
- Search for the order by Order Number or a different search parameter. The orders will appear in the order list based on the desired filters.
- Orders can be repeated from the Order List or from the Order Details page. If needed, double-check that all information in the Order is accurate.
Order List
- Click the 3 dots on the right hand side of the order that needs repeating.
- Click Repeat Order from the dropdown.
Order Details Page
- Click the order to go to the Order Details page.
- Click Options.
- Click Repeat Order.
Repeat Order Pop Up
When Repeat Order is clicked from either pathway, a pop up to set up the repeat order will appear.
From this pop up, the frequency and requisite setup for date and time can be arranged to allow for repeating orders once only, weekly, monthly, or a set amount of days.
To set up a recurring order on a Weekly, Monthly, or a set amount of days basis, set the Order to repeat by selecting the checkbox that reads Order will be repeated again in the future at the bottom of the pop up. Date from and Date to fields must be filled out for repeated/recurring orders.
The selection indicates that the final recurring Order will show up in the Recurring Orders Tab within the Order module. It serves as a reminder in case Operators want to set up more recurring orders beyond the original end date.
Once Only
For orders that need to be repeated only one time.
Choose the Date and Time the Repeat Order is set to be fulfilled.
Weekly
For orders that repeat weekly.
Choose which day of the week the order will repeat on.
Set the start and end dates for this repeated order by using the Date from and Date to fields.
By default, the time remains the same as in the original order, but can be changed after clicking Confirm.
Monthly
For orders that repeat monthly.
Choose the setup day that order repeats on.
Set the start and end dates for this repeated order by using the Date from and Date to fields.
By default, the time remains the same as in the original order, but can be changed after clicking Confirm.
By Date
An order can be set to repeat on any numbered day of the month by selecting the Date Setup and then selecting the numbered day of the month in the field.
By Day and Week
An order can be set to repeat on a set day of the week and a specific week by selecting the Day and week Setup and selecting the week of the month and the weekday.
Every Set Amount of Days
Every Set Amount of Days allows Operators to customize the amount of days between orders. Orders can be repeated every other day, every ten days, etc.
Set the day amount to whatever is required and select whether or not to include weekends in that day count by clicking the check box.
Set the start and end dates for this repeated order by using the Date from and Date to fields.
By default, the time remains the same as in the original Order, but can be changed after clicking Confirm.
Confirm Orders
- Click Confirm to continue to the Confirm Orders screen.
- Manually change order times as needed by clicking the time box near the order date.
- Deselect a checked date to keep the Order Unconfirmed. It won't show up on any Production or Delivery Reports. To Confirm those Orders, go to the Drafts Orders Tab and Confirm each one manually.
- Click the Mark Orders as Confirmed checkbox to automatically confirm the orders.
- When every detail is finalized, click Generate Orders.
- Once processed, you will see how many new orders were created at the bottom, and if any failed.
- When complete, you will see each Order designated with an Order Number on the right hand side.
- Click Close to close the interface and be taken back to the Order Module.
Recurring Orders
Click Recurring to find all recurring orders on one page. The catering team can review recurring orders near the end date to determine if they need to continue repeating. It keeps old orders from repeating indefinitely and being incorrectly fulfilled.
