Introduction
What is Virtual Terminal?
Virtual Terminal (VT) is a way to mark payments that have been made outside of Spoonfed. Since the Order wasn't processed through Spoonfed, Virtual Terminal Payment allows you to still mark the Order as paid.
Virtual Terminal might be renamed to something else if your team routinely takes outside payments (like through a POS system). Talk with a Spoonfed Customer Success Partner for help with renaming.
Was My Order Marked as Paid Through Virtual Terminal?
In the Payment Tab, an Order paid through Virtual Terminal says "Terminal Payment" under the Transaction ID column. If a User accidentally marked an Order as paid through VT, check this column.
Do I Need to Enable Virtual Terminal Payments?
Generally, you should not enable the Virtual Terminal Feature. We don't advise enabling Virtual Terminal for most Back Office users.
If your team frequently takes payments through an outside POS System or directly through your payment gateway, instead of through Spoonfed, you might find Virtual Terminal to be a useful and essential feature.
In all other cases, Virtual Terminal is best to leave "turned off" so that staff don't get confused when taking regular payments through Spoonfed.
Enable or Disable VT Payments for Back Office Users

Got to Setup > Organization > Users.

Click View/Edit near the User.

The box View Order Payment by VT Terminal should be checked or unchecked. Most often, make sure it is left unchecked.

Click Save.
Make a Virtual Terminal Payment
To make a virtual Terminal Payment, the User must first have the VT Payment Permission enabled.

In an Order, click Confirm Order.

The pop-up will show the option to "Click Through to the Virtual Terminal" and mark the Order as paid.

Click the orange-highlighted link to go to your Payment Gateway (Stripe, Authorize.net, FreedomPay, etc.) and take payment for the Order. If you've already taken the payment through a different POS System, skip this step.

Check this box. Click Confirm.

In the Payments Tab, the Order will be marked as paid.
Remember that this feature is only intended to be used if you already took a payment through a different system outside of Spoonfed.
Reverse a Virtual Terminal Payment
If you or a staff member made a VT Payment on accident, follow these steps.

First, remove that permission from the user and any other user who does not need it in the User Permissions. That will prevent future mistakes from happening

Refund the VT Payment in the Payments Tab of the Order.

Click Save. Then Click Reconfirm.

Either send a Payment Request to the Customer via email or skip the email to charge the card in the Back Office.

Charge the Order through Spoonfed, as you would for any other Order that's paid with a card payment.
