Purpose
Office Coffee Service (OCS) in the Parlevel VMS supports the use of Presentations with OCS products and Price Tiers. A Presentation represents how you buy a product from your supplier(s) or provide them to your OCS stations, e.g. individual units, a case of 24, a box of 200, etc. This article provides an explanation of how to set up and use Presentations with your OCS operation, which may differ from the Presentations used in managing your supplier orders and warehouse inventory, which can be found in the Parlevel Warehouse Setup article.
Process
Setting Up Presentations
In your VMS, navigate to Settings > Warehouse > Presentations to get started.
The first time you navigate here, all of the active products in your VMS catalog will have a presentation automatically made with a Unit of Measure (UOM) of 1 and Presentation Type Each. You may edit these presentations by clicking the buttons to the right, or you can click the New Presentation button at the top right, which will bring you to the Presentation Creation page. Select the appropriate product, select its Type (Case, Box, Pallet, Each) designate its Unit of Measure per type, and fill in any additional information before saving.
Presentations can also be removed from the Presentations page by clicking the buttons to the right, though it should be noted that any presentation listed in one or more Price Tiers cannot be removed until the presentation is removed from all associated Price Tiers.
Adding Presentations to OCS Price Tiers
Add your presentations to Price Tiers by first navigating to Settings > OCS > Price Tiers.
Click to edit the appropriate price tier.
You may search for a particular presentation or filter based on presentation type or product type, then add using the buttons. Tier Prices for added presentations with type Each and a UOM of 1 will default to the product price, while presentations with other UOMs will need have their Tier Price added in the price field on the right.
Under OCS > Orders, you may add product presentations to station orders the same way you would add a product from the station's Default Order or its price tier. The name of the presentation will include its presentation Type and UOM in its title, as seen below.
Once added to a station's price tier, presentations will also be displayed in the Stock application, showing their Type and UOM at the end of the marquee label.
All other relevant areas of the VMS, such as OCS customer invoices, will also display a presentation's UOM, as well as taking it into account when subtracting from truck or warehouse inventory.
