Purpose

This article describes the Lightspeed Processes available in LSAdmin. These features are listed in a drop-down menu under the Lightspeed Processes main menu option.

Lightspeed Processes

Get or Refresh Provider Orders

This function is used to bring orders into the database. All active routes are displayed here for you to select 1 or multiple routes to generate orders.

Refresh Provider Lists

Here you can refresh the information we store from the provider. Products, categories, routes, sizes, barcodes and warehouse are kept in the database and any change that is made is not brought in until this process has been performed.

*** Please run daily before downloading orders into Lightspeed.***

Enter Returns

This is one of the multiple ways to bring a product back into the system after it was not put into a machine. Selecting the date and route will generate a list of every product that was put on the truck for delivery. You can enter the returned quantity for each product being returned.

Sequence Mobile Orders

This function is used to put the orders picked on mobile in a particular sequence. This has to be completed before picking.

Create Route Orders

This function is used to make manual orders within Lightspeed. These do not come from the provider and can be created by the client based on last-minute orders or phone-in orders.

Vendmax Delivery Orders

This function is used to make manual orders within Lightspeed for delivery orders. These do not come from the provider and can be created by the client based on last-minute orders or phone-in orders.

Vendmax Zone-to-Zone Transfers

This function allows you the ability to transfer your quantities from market orders to the primary provider. This allows for products picked for market orders to be accounted for directly from Lightspeed to vending.

 

Provider Updates

This function is used to resend orders to the providers. Typically used in markets that did not close correctly, it can also be used to send changes to the provider. This page displays all orders picked (or unpicked) for each route.

  • There are check marks at the top/bottom that will allow you to select whether to select, "picked", "unpicked" or "all orders".
  • If a customer calls in about PIP or clearing catch all, You can go into Provider Updates to push the order through.
    • Please Note: If an Order Status is purple under Standard Reports Tab, the order was sent through.
      • These changes should reflect on the provider's end within 20 minutes.

 

Generate Zone Orders

This allows the client the ability to regenerate an order(s) that has already been downloaded into lightspeed, but a machine, product, or mapping change was since completed by the client. Orders need to be generated to account for those changes prior to them picking the order. Also allows for orders to be reset.

Reset/ Unlock Orders

Allows you to reset or unlock an order that is already opened and assigned to an incorrect user or needs to be repicked. This feature is for mobile.

Reset iPad Licenses

This allows for their iPad licenses to be reset once they receive a "not authorized" message on their iPads.

Unlock FastTrack Routes

Allows you to reset or unlock an order that is already opened or needs to be repicked. This feature is for FastTrack.

Cancel Orders

This function allows you to no longer have an order appear for pick to lights or mobile. The order(s) will still remain in the database, the current status page, and on their provider end. This is necessary to prevent orders getting stuck in OneWarehouse and requiring more work on the Operator's (and/or Canteen’s end.)

  • the order(s) cannot be completed or in-progress to be eligible to be canceled.
    • If the order is not showing up in Cancel Orders, it has been started/in-progress.
    • If the order is in-progress and they still wanted it fully deleted, look at the “Generate Zone Orders” section of this article and reset the order using the process there. Once reset, the order should be eligible to cancel.
  • When cancelling orders for Canteen Corporate, do not delete it from the database.
    Deleting the order from LightSpeed causes issues on the OneWarehouse end as it will not re download into LightSpeed, nor close out in OneWarehouse.

Navigate to LightSpeed Process > Cancel Orders to begin canceling order.

Then select:

  1. The Date.
  2. The Route.
  3. The Orders.
  4. Then press the Cancel button. Once pressed, it will send a trigger to OneWarehouse that will cancel the order on their end. See image for example.

Manage Product Notes

This function allows you to add, edit, & delete notes for products.
