Parlevel - Link for Vending & OCS

Parlevel Link offers services for your customers in conjunction with your business. Link for Vending offers clarity and transparency for your vending operations and analytics, while Link for OCS offers a convenient way for your OCS customers to place product orders for your Stations. 



Parlevel Link in the VMS


Parlevel Link must be contracted and enabled by the Parlevel team. Once enabled, you can begin by navigating in the VMS to gear icon Settings > Customers > Parlevel Link


The first tab on the following page is Users & Permissions. This lists all of the users with access to Parlevel Link. 




Listed from left to right:

  • The email of the Link user
  • The user's associated Account
  • The type of Link account (Vending, OCS, or both)
  • The user's Location Permissions, which is restricted to the Account they are associated with
  • The Status of the user's account, which is Registered if they have accepted the Link email invitation, or Invited if they have not accepted.
  • The number of orders the user has placed (for OCS only)
  • Actions, which allows you to edit the user's permissions, delete the user, or resend either the activation email or a password reset email, depeningt on their Status.

If you click the green New Portal User button in the top right corner, you will be asked to enter information for a new Link user. 



You will need to enter their email and specify whether they will have access to Link for Vending, for OCS, or both.


You will need to select the Account and Location that they will have access to. They will be limited to viewing information only for the accounts/locations they have access to.


If you make a Link User with access to Link for Vending, you will need to specify under Vending Portal Options what analytics reports they can view, seen above.




The second tab on the page is the Login Page, where you can customize the appearance of the Parlevel Link login page as it will appear to your customer. 




You can select an image for your Main Logo from the files on your computer or device. The recommended image size is 200 x 200 pixels. If you do not set an image, then your Company logo will be used by default. 


You can select an image for your Background from the files on your computer or device. The recommended image size is 1920 x 1080 pixels or larger.

 

The OCS and Vending tabs allow you to customize the appearance for your Link pages, including options for the color scheme, social media links, and contact information.




Be sure to click Save if you have made any changes.



Parlevel Link

You can log in to Parlevel Link by navigating to customer.parlevel.link, where "customer" will be replaced with the name of your VMS subdomain. 

For example, if you access the VMS by going to vendroyalty.parlevelvms.com, then your Parlevel Link URL will be vendroyalty.parlevel.link.


You can use the same credentials for Link that you use to log in to the VMS. If your user permissions are restricted to Link for Vending or Link for OCS, you will be directed to the appropriate page. If you have access to both, then you will choose to access either OCS or Vending.


For OCS

Upon logging into Link for OCS, you will first choose the Location and Station for which you'd like to place an OCS order. The selection of Locations and Stations available to you is dependent on your User Permissions that were set in the VMS.




Once you've specified the Location/Station, then you can click the waffle icon to get started adding products to your order. The products are sorted into Categories for your convenience, or you can search for a product using the search bar.



The products that a customer is able to see here are restricted to the products available in the Location's Price Tier within the VMS.


When you click a product image to add it, a popup will appear where you can select the quantity needed and add the product(s) to your order. 


When you've finished adding products to your order, you can click the shopping cart icon button to finalize the order.




On the right you can review your items and total. On the left, you will need to set a Delivery Date. If the Station has a schedule for servicing set in the VMS, then available delivery dates will reflect that. Enter any special instructions for the delivery, if applicable.


Click Submit Order if you are ready.

 

You can click the VMS Context Menu icon in the upper right corner to access the Menu. If you hover over the arrow next to OCS, and then Pending Orders, you can view the details of any pending orders you have placed. You can click the VMS Edit icon to the far right of the order to view its product details.



By clicking VMS Context Menu icon > OCS >  Invoices, you can view your OCS order invoices. By clicking new document icon (blue), you can view, download, or print a PDF version of the invoice.




Customers have the ability to pay their invoices directly through the Link portal, if you have enabled it and filled out an agreement with the payment processor Braintree. You can contact your Customer Success representative to see if this option is viable for your operations. 

If this option has been set up already, then when viewing OCS Invoices, there will be an additional option to pay to the right of each invoice. Clicking it will prompt the user to enter their card information, as seen below. 


For Vending

Upon logging into Link for Vending, you will first choose the Location and Machine to view. Once selected, the machine's Planogram will appear underneath the word Snapshot, seen below.




If you click the Service History tab, you can view the dates and times of the last 10 machine services, as well as who they were serviced by.


Product Sales Report

Under Vending > Product Sales Report, you can view the product sales of a particular machine for a specified date range, if your User permissions are set to do so in the VMS. Once you have selected the Location and Date Range, you will be able view the Price, Units Sold, and Revenue per product within the date range. You can specify one machine within the Location to view it on its own, or leave the dropdown blank to view all product sales for all machines assigned to the Location. You can print or export the Sales Report using the buttons.





Machine Sales Report

Under Vending > Machine Sales Report, you can view the total machine sales of a particular machine for a specified date range, if your User permissions are set to do so in the VMS. Once you have selected the Location and Date Range, you will be able to view the Total Units Sold and Total Revenue for the machine within the date range. You can also specify one machine within the Location to view it on its own, or leave the dropdown blank to view all machines assigned to the Location. You can print or export the Sales Report using the buttons.





Variance Report

Under Vending > Variance Report, you can view the differences between two audit reports for a particular machine, if your User permissions are set to do so in the VMS. After selecting a Location and Machine that has at least two audits to compare, you will be able to view the variances between two selected audit reports. 


There is a section for Total Variances for the entire machine, and a section for variances broken down by individual product. You can print or export the Variance Report using the buttons.
