Purpose
The purpose of this article is to outline the Contact transfer functions in the Spoonfed Customer Module.
Process
When a Contact self-registers online, they are automatically saved as a New Contact on Spoonfed. If the person should be a Contact under an Organization, they may need to be transferred in the Back Office.
- If a client Registers Online, they may create a duplicate Contact. For security purposes, a new Contact can't assign themselves to an existing Organization.
- If this occurs, simply transfer the New Contact into the correct Organization. This will help for more convenient invoicing and account management.
There are two methods of transferring Contacts: transferring them individually or as a group using a bulk function. These methods are only available in the Hierarchy and Hybrid Setups.
For more information regarding the different Customer Module Setup options please reference the article, 365 Catering (Spoonfed) - Introduction to the Customer Module.
Single Contact Transfer
- Navigate to the Organization Details page by clicking the name of the Organization.
- Select the Contacts tab.
- Locate the Contact in the list.
- Click the 3 dots on the right side to bring up the options for that Contact.
- Select Transfer.
- Type in the Organization to transfer the Contact to in the pop up window that appears.
- The transferred Contact will now show up under the new Organization's Contact Tab.
-
If necessary delete the Organization that the Contact was transferred from. This will help keep records clear and prevent a fellow Caterer from accidentally placing an order under an invalid Organization.
Bulk Contact Transfer
Bulk actions such as bulk move or bulk delete can be performed from the Organization Contacts tab.
- Navigate to the Organization Details page by clicking the name of the Organization.
- Select the Contacts tab.
- Select which Contacts need to have the action performed on by using the checkbox on the left side of the individual contact, or select all contacts under the Organization with the checkbox at the Contact Name level.
- Click the Bulk Actions button that will appear after contacts are selected to view the options. Bulk Transfer will transfer all selected contacts to a specified Organization.
- The transferred Contact will now show up under the new Organization's Contact Tab.
-
If necessary delete the Organization that the Contact was transferred from. This will help keep records clear and prevent a fellow Caterer from accidentally placing an order under an invalid Organization.
Additional Information
Moving a Contact won't move previous Orders made by that Contact. These Orders will still be accessible under the original Organization. Because of this, it's important to transfer a Contact immediately before they can place any orders under the wrong Organization.
It can also help to only create Contacts for businesses in the back office.
Any cards stored on the Contact's account will transfer with them. If a card payment has been Pre-Authorized without Final Payment, the transfer will invalidate the Pre-Auth. You will have to Re-Authorize the Card to take Final Payment.
