ADM - Age Verification - Operator Guide

Overview

Age Verification is a PIN system that allows an authorized user, such as a hotel clerk, to provide a PIN that a consumer can use on a 365 device to purchase age-restricted items like alcohol. This will be available for PicoCooler, PicoCooler Breeze, and Stockwell (with Pico). 

  1. 365 enables Age Verification at the Org Level.

  2. For this functionality to be available at the Device Level, it must first be enabled at the Location Level. Operators can enable at the Location Level.

  3. Once enabled at the Location Level, Age Verification needs to be enabled for any device where age-restricted items are sold. This can be done by the operator as well.

  4. When the functionality is enabled for a device, a consumer must present a payment method/GMA login as well as an Age Verification Code to gain access to the cooler/Stockwell housing age-restricted items.

 

How Does It Work?

To have access to this functionality, Age Verification must be enabled at the Org, Location, and Device Level. The operator can enable/disable the functionality at the Location/Device Level.  

  1. An operator/hotel clerk will manually/visually verify the consumer's age.

  2. The operator/hotel clerk will log into ADM and enter the consumer's email address and checkout date into the Age Verification system.
  3. The consumer will receive an email containing an Age Verification Code (from noreply@readytouchpos.com) which will grant them access to age-restricted items.
    • Non-Hotel Locations: The header of the email will be generic, stating "Age Verification Code." The body of the email will include the location name, the Age Verification QR code, and the 6-digit Age Verification PIN.
    • Hotel Locations: The header of the email will include either the Hotel365 logo or the custom logo uploaded by Hotel Admin. The body of the email will include the market/location name, the Age Verification QR code, and the 6-digit Age Verification PIN.

  4. The consumer will need to present their payment method for pre-authentication on the Pico device. They can pay using one of the following:
    • AMEX, Master Card, Visa with Tap, Chip & Swipe 
    • Discover with Tap & Chip 
    • Google, Apple, and Samsung Pay
    • Key tags/market cards
    • GMA account
     
  5. If the pre-auth is successful, the Age Verification screen will display. The consumer can scan the Age Verification QR code OR manually enter the 6-digit PIN on the Pico device.
    This screen will timeout based on the Screen Timeout setting in ADM.

    NOTE: The Age Verification is separate from a GMA account login PIN. If a device has Age Verification enabled, a consumer must be prequalified by an operator/hotel clerk to utilize the 365 device. The consumer can use the device until the PIN expires.
     
  6. The consumer grabs the desired items and completes their transaction.

 

What Happens When an Age Verification Code Expires?

Age Verification Code expirations cannot be reversed. However, the operator/hotel clerk can generate a new code by re-entering the consumer into the Age Verification system via ADM. 

  • Age Verification Codes will remain in the ADM backend for 90 days after expiration for historical lookup and then will be deleted.

  • If a consumer attempts to use an expired Age Verification Code, the system will prevent them from unlocking the device and display a screen stating the code has expired.
    • The code expiration screen will timeout after 7 seconds. The device will return to the main screen, the pre-authorization of the payment method will be canceled, and the GMA account will be logged out of (if the consumer was logged in).

  • The consumer will need to see the operator/hotel clerk for a new code to be generated/issued.

 

What if the Pico Device Is Offline?

Age Verification requires the Pico device to be online. Offline will not be supported.

  • When a Pico device is offline, the cooler/Stockwell will remain locked and only non-cooler/rack purchases can take place until the Pico is back online.

  • The Pico device will skip the Age Verification screen as we will not be able to verify the PIN.

ADM Configurations

This section will cover various ADM configurations for Age Verification, such as:

 

Enable or Disable Age Verification

To have access to this functionality, Age Verification must first be enabled at the Org Level by 365. The operator has access to enable or disable at the:

 

Location Level

IMPORTANT NOTE
By default, when Age Verification is enabled at the Org Level, it is set to disabled at the Location/Device Level. The operator can enable/disable the functionality at the Location Level as needed.
 
If Age Verification is disabled at the Location Level, the Age Verification screen will not display on any devices under the location and the devices will NOT prevent underage consumers from accessing products in the cooler/Stockwell.
  1. Log into ADM.

  2. Click the name of the desired location from the Location tab. The Location Summary will load.

  3. Click the Click here for location information and settings ( + ) button.

  4. You can either enable or disable Age Verification for an entire location from this page.

    • Enable: The Age Verification Enabled box should be checked. When enabled at the Location Level, the location will show in ADM's Admin > Age Verification section.
      IMPORTANT NOTE
      Only devices with the functionality enabled at the Device Level will require age verification to access age-restricted items. Be sure to enable the setting for the desired devices as well. See the Device Level section for more setup information.
       
    • Disable: The Age Verification Enabled box should be unchecked.
      IMPORTANT NOTE
      This would disable the functionality for any devices under the location, meaning the devices will NOT prevent underage consumers from accessing products in the cooler/Stockwell.
       
  5. Click Save at the bottom of the page.

 

Device Level

IMPORTANT NOTE
By default, when Age Verification is enabled at the Org/Location Level, it is set to disabled at the Device Level. The operator can enable/disable the functionality at the Device Level as needed.
 
If Age Verification is disabled at the Location/Device Level, the Age Verification screen will not display on the device and the device will NOT prevent underage consumers from accessing products in the cooler/Stockwell.
  1. Log into ADM.

  2. Click the name of the desired location from the Location tab. The Location Summary will load.

  3. Select the desired device from the Devices tab at the bottom of the page. The Device Summary will load.

  4. You can either enable or disable Age Verification for the specific device from this page.

  5. Click Save at the bottom of the page.

 

Granting Age Verification Code Management Access to Hotel Clerk

ADM users need to either have an Operator role or a custom role with Age Verification permissions to enter consumers into the Age Verification system. For the Operator to delegate Age Verification permission to a clerk, they will need to create a custom role for that clerk and select Age Verification from the permission matrix, as well as grant the clerk access to the appropriate location(s).

Be careful about opening up too much ADM access as well as assigning incorrect location(s) to the clerk.

Entering a Consumer Into the Age Verification System

ADM users need to either have an Operator role or a custom role with Age Verification permissions to enter consumers into the Age Verification system. See ADM - How to Create User Accounts article for further information on editing/creating ADM user roles/permissions.

 

Manually Resend or Expire Activation Code

An activation code can be manually resent to the consumer's email address or the code can be manually expired. Age Verification Code expirations cannot be reversed. However, the operator/hotel clerk can generate a new code by re-entering the consumer into the Age Verification system via ADM.
