Cooler Vision Express - Operator Guide

Purpose

This document will provide information about the CV Express hardware device, which is a small-footprint CV Enabled kit that can be applied to specific coolers to automate retail and provide controlled access solutions.

Process

Hardware

The CV Express offers: 

  • cameras
  • Vision Controller PC
  • a 4G LTE Router (SIM provided)
  • Integrated door lock connected to Vision Controller

Apps, Software, and Integrations

The CV Express supports the following: 

  • SMS receipts
  • Card not present transactions
  • Mobile Payments using Visa, MasterCard, Amex, Discover (US Only)
  • Digital wallets using AppleID and GooglePay
  • Connected Campus ready

CV Express does not currently support offline functionality.

Mounting CV Express Kit to a Cooler

For instructions on installing the CV Express kit on a cooler, please see the article Cooler Vision Express - Installation.

Provisioning

This device does not currently support Self Provisioning. Please submit a location deployment request via the Smart Cooler Deployment Request Portal to have the device provisioned.

This request will typically be processed in 1-2 business days. After it has been processed the setup process can be continued.

Location deployment is required before launch: if a deployment is not submitted for the device, errors may occur, such as issues with disbursement and market functionality. 

QR Code

Each QR code created is unique to the device it is created for. Each cooler must have its own distinct QR code. In order to accept payments and enable functionality for CV Express, an ADM generated QR code must be applied onto the cooler.

This QR code is specific to the device and has a unique URL that ensures transactions and the user journey are unique to the device it is applied on.

Generating the QR Code

  1. Log into ADM.

  2. Navigate to the location the device is located at.

  3. Click the device desired, this will open the Device Summary page.

  4. Select Generate QR.

  5. A PDF will go into the downloads folder of the browser used. This PDF contains the unique QR code and can now be printed.

The same QR code can be re-generated at any time from the Device Summary page.

Applying QR Code to Cooler

  1. Generate QR code and print as per above instructions.

  2. Print on paper or other desired material (Does not have to be adhesive).

  3. Cut out QR code taking care with the margins to not cut off pieces of the code.

  4. Take the template sticker and peel the sticker over, half-way up.

  5. Fold and create the sticker cover.

  6. Place the QR code in the empty space that has been designated.

  7. Open the cooler/cabinet door and place the uncovered adhesive onto the glass.

  8. Press firmly and peel the rest of the cover off.

  9. Firmly press and rub the sticker to the door, removing any air bubbles.

Hardware setup

CV Express will be configured for your location using information provided in the location deployment request before shipment and will come with a printed decal to apply to your cooler.

  1. Print off and apply QR code to cooler.

  2. Once the CV Express kit is installed on cooler, turn on power for both the cooler and the CV Express Kit.

  3. Allow the store 4-6 minutes to boot up.

  4. The router will connect automatically to the most appropriate local cellular connection.

    1. If Ethernet is preferred, Operators can simply connect an Ethernet cable from the new internet source into the WAN port on the router in the back housing. Then using another cable connect the PC to a LAN port on the router. 

  5. After the device is booted up and the router has established connectivity, the CV Express is ready to test.

  6. Scan the QR code to test connection, if payment page successfully loads, the unit is properly staged and connected.

Setting up Schema/Planogram

Adding Items to ADM

For products to be accessible to the Planogram, the items must first be extended to the device's location. 
To learn more about extending a product, see the article ADM - Add, Edit, or Extend a Product.

When editing items in ADM, keep these things in mind:

When adding additional scancodes to a product in ADM, do not delete (or edit) the first scancode that was added. Deleting or editing the first scancode can cause items to not charge tax or have incorrect prices.


Extending Items to CV Express from ADM

Stockwell is the back-end Cooler Vision Express management portal.

  • The first step to get items added to the schema is to make sure items are extended to the location in ADM. Please refer to the article, Add, Edit, or Extend a Product for more details on the process. Note that if using a VDI integration with another system, the items must first be extended from the primary system to the ADM location. 

    When editing items in ADM, keep these things in mind:

    • When adding additional scancodes to a product in ADM, it is imperative that you do not delete (or edit) the first scancode that was added. Deleting or editing the first scan code can cause items to not charge tax or have incorrect prices.

    • Once items are extended to the location, from the Product tab press the orange Send Catalog to Stockwell button to update the products available.

  • All products will update without intervention when the device performs the next sync.

Adding Images to Items in the Catalog

Images will need to be linked to any new products the Stockwell website receives from ADM. Below are the steps on how to link images to a product.

  1. Click the 3-line icon in the upper-left corner on the Stockwell website.

  2. Click Items. This is where all items are stored. When a new item is added into ADM, it will automatically appear in the Stockwell Web App. Contact 365Support if you are not seeing items or email support@stockwell.ai.

  3. Click on an item to see more details.

  4. Scroll down to where it says "images."

  5. Click on any image option, "small, medium, large" will work all the same.

  6. Upload the image you would like to use for that product. The image can be in .jpeg or .png format. format.

    1. The item images and dimensions (including item and image rotation) can be altered in the setting of any individual item. However, images should be cropped to the item packaging prior to uploading.

    2. Item dimension and other settings are more easily controlled in the schema section explained below in the Schema Adjustments for Products section.

    3. Uploading the large image will auto populate the medium and small images. The image dimensions in the schema will be changed based on item dimension settings of each individual item. Matching the item dimension settings to the product packaging dimensions and the cropped photo will result in an accurate image in the schema.

  7. Select Save in the upper right corner.

Adding products to the CV Express Planogram/Schema can be done once the products have been added into ADM and extended to the location. Do not edit product information in the Stockwell website. All product management will occur in ADM or in any 3rd party software that is being used for product management.

Planogram Access and Creation

Note: The number of shelves in the planogram cannot be changed from 5, this is the default.

  1. Log into ADM

  2. Select the name of the location you would like to edit. 

  3. The Location Summary page will now appear. From here, select the name of the device you would like to edit. 

  4. The Device Summary page will now display. Select the Stockwell Planogram button.

  5. You will now be taken to your schema for this device. Select the Staging button on the resulting page. 

  6. Select the Clone Production Schema button.

  7. Now use the search bar to look for items. You may use the product name or product scancode from ADM to find your items. Once you have found an item you would like to have in your smart cooler, click on the name of the item, then drag and drop it to where you want it to be on that shelf.
    If you cannot find the products you are looking for, the items may need to be extended to the device's location in ADM. Learn how to extend a product with the article ADM - Add, Edit, or Extend a Product.

  8. Once your Planogram is all set, select the Save button, then select Migrate to Production.

CV Express units should only have one item type per row. (one brand, flavor, and packaging type). The schema needs to be an accurate representation of the stock of the unit. Different product types should not be stacked on top of or behind one another. The schema should look like the units store front photo. Inaccurate schemas can cause loss and inventory issues.

After adding images to your schema product dimensions and other settings will need to be adjusted for an accurate schema setup.

Servicing the Device and Changing Images on 365Ops App

Devices in the Stockwell product line have additional management features in the 365Ops app. These features allows operators to unlock door, restock and take service images of the device after restocking is complete.

  1. Download the 365Ops app from the Apple App Store or Google Play Store.

  2. Once installed, you may open the app.

  3. Select the ADM Login option. The 365Ops app uses the same login credentials used for accessing ADM. Enter your email address and password.

  4. Tap LOGIN.

  5. Select the name of your Organization, then the name of the Location of your device. Then, navigate to the Device Data screen for the device in question by selecting the name of the device.

  6. On the Device Details screen of the app, you will see tab options above the Full Sync and Restart buttons, which are unavailable for devices outside the Stockwell product line. These tabs are Info and Service Images. Select the Service Images option.

  7. You will now see the Service Images Tab. From this tab, you can review previous service records, or create new ones. 
    To create a new service record, select New Service Image.

  8. You will now begin the three-step process of creating a new service record. For the first step, select the Service Mode button. The device will now unlock. Open and close the door to re-trigger the lock, then proceed to the next step.

  9. You will now be prompted to take a service image of the device. The service image should be taken in landscape mode, and should show an image of the unit with the doors closed.
    This image is used for reference of unit stock and organization at the time of service, and is also used as a backup schema reference if our systems need additional insight.
    Select Next when you have added the image.

  10. Once your service image has been added, you will be taken to Step 3 of the process. Click the button Submit and End Service Image Capture.

  11. Now that you have completed this process, you will be able to view this record and any previous records listed in Submitted Records on the Service Images Tab.

Dimension Settings

When in the Staging tab for schema setup you can select an item by clicking on it in the staging schema. This will pull up several settings on the right side of the screen for the Selected Item.

The dimension settings for Height and Width can be adjusted in this section.

The height and width settings ensure that schema shelf spacing is accurate. Item dimensions can be approximated. These settings will stretch and skew the images to match the dimensions, and it will push surrounding products into their correct spacing as dimensions are updated on all shelf products.

CV Express systems use both the item images and schema location to identify items. Proper dimensions helps ensure that items can be identified by where they are pulled from along with the images.

The Depth Setting can be bypassed as this setting was only for Legacy units.

Rotation Settings

Some products (typically candy bars and other slender items) are placed on their sides in pushers for better use of space. If an item needs to be rotated this setting allows for that adjustment by 90 degrees.

Stack allows items to be set on top of one another in the schema. More often than not this is usually used items on the bottom shelf that are not in pushers.

Items typically in bowls and boxes can be stacked to utilize unit space more effectively. Make sure these items can be clearly distinguished by the labeling on the side as well as the top. The Juxtapose settings allow you to add multiple rows of an item side by side on a shelf.

Managing Stock with the 365Ops App

Payment Setup

Disbursement setup will occur during onboarding. Payment disbursements will occur on a pre-determined cycle based on the region and processor the Operator is using.
For more information on this, contact your sales representative.

Requests for Refund 

Please contact 365 Support for refund requests.

Please provide the following details for the refund:

  • Last 4 digits of the card used
  • Amount of the transaction
  • Date the transaction was made
  • Location Name or Kiosk Serial Number

SIM Cards

CV Express devices will be shipped with a 365 activated and provided SIM card by default. A recurring fee will be charged to the Organization from 365. If the total data plan volume is exceeded, additional fees may apply.

SIM Cancellation

If an Operator decides to cancel connectivity via SIM card they will need to reach out to their Account or Sales Representative to discuss options.

Re-provisioning and Relocations

Operators can relocate CV Express units by submitting a Location Move request via their Account Representative.
