Manage Inquiries in the Back Office

Introduction

Note: This feature must be enabled by a Customer Success Specialist. If your account utilizes two order flows, you can enable this feature on one or both

 

The Inquiry feature allows customers to contact the caterer with details of a potential order before it is placed. Learn how customers can place an Inquiry here.

 

Inquiries in the Back Office

Once a customer has completed the Inquiry Form online, their request will be shown in the Inquiry Module.

 

 

Once in the module, you will see the inquires you have received displayed newest to oldest.

 

 

Search Filters

You can sort through your inquiries using the search filters:

  1. By Name

  2. By Event Date - the requested date of the event

  3. By Inquiry Status

  4. By Inquiry Date - the date the inquiry was submitted by the customer

Inquiry Statuses

There are four different statuses of an inquiry:

  1. Pending - The inquiry has been received, but no action has been taken yet

  2. In Quotes - The inquiry has been converted directly into a Quote

  3. In Orders - The inquiry has been converted directly to an Order

  4. Closed - The inquiry has been completed or cancelled (Note: Once closed, this action cannot be undone)

     

 

Viewing an Inquiry

Click on either the inquiry number or the the "view/edit" eye icon to view the details the customer filled out online

 

 

If the customer logged in before completing the form, their customer details will show under Inquiry Details

 

 

If the customer left any notes on the form, they will appear under Special Requests

 

 

Converting an Inquiry

At the bottom of the page, you will see the actions you may take after receiving the inquiry

 

 

  1. Convert to Quote: Caterers can begin creating a quote from the details submitted in the form

  2. Convert to Order: Caterers can begin creating an order from the details submitted in the form

  3. Close Inquiry: If the form is no longer relevant, or the order has been complete, you can mark the Inquiry as "closed"
