Purpose
This article serves as the Bluedex/ Stock Instruction Manual for Parlevel.
Process
To log in, enter your company name as it appears in your VMS URL (www.vendking.parlevelvms.com, where "vendking" is what will be entered into the first field). This is your VMS subdomain. Enter your username and password as given to you by your supervisor.
Once logged in successfully, you can view the status and some details for the day's routes to be run.
After selecting the route, you will select the location to service on that route.
Servicing Online Machines
- To view or adjust the items you will be stocking, tap the Prekitting button beneath the machine information. If the items you will be stocking in the machine differ from the original prekit, the numbers can be adjusted here before marking the machine as serviced.
After, you can open the machine and press the Fill/DEX button on the machine’s telemetry device. Pull down the app page to refresh it and ensure the DEX was successful and the machine was marked as serviced.
Please note that Fill Dex's can take up to 5 minutes to process and show up in Stock as being serviced. During this time, drivers can begin scanning the money bag, collecting cash, or regular service responsibilities. - There is an option to service a machine with a Manual Parlevel. Manual PLs should only be used in the event of a device malfunction that prevents a Fill DEX from being sent. Please note that inventory adjustments should not be made after an MPL.
- Scan or manually enter the Money Bag number for the first field, shown below.
- Tap Add Change to enter the amount of change that was used to refill the coin mech.
- Tap Add Refund to enter the total amount of refunds issued to the account during service.
- Once the machine has been successfully marked as serviced, the Manual PL button turns into an Inventory button, where you can view the final inventory stocked.
Adjusting Inventory
After an online machine has been marked as serviced, if you tap the Inventory button, a page like the one on the right will be displayed.
NOTE: While the product count can be adjusted here, it is recommended to adjust products stocked in Prekitting before sending a Fill DEX. This ensures accurate inventory tracking.
• Search for products by using the Filter By bar.
• Tap to swap the product or change the parlevel.
• Tap to adjust the final product count.
• If the Warehouse VMS setting is enabled, tap to enter product pulled or shrinkage. This allows you to mark whether the product is expired, damaged, lost, or refunded.
• Tap Save to confirm your inventory changes.
Servicing Offline Machines
The Servicing page for Offline Machines is very similar to the Online Machines page, except that Offline machines will be serviced by the Offline Service button, and there will be no Device ID in the header information.
- Pull up the machine in Stock.
- Tap the first field to scan or manually enter the Money Bag number.
- Tap Add Change to enter the amount of change that was used to refill the coin mech.
- Tap Add Refund to enter the total amount of refunds issued to the account during service.
- Tap Offline Service. The page below will be displayed.
- Enter Cash Meter accurately.
- If the products you're able to stock differ from the prekit, the Stocked numbers will be updated here.
- If the Warehouse VMS setting is enabled, tap to enter product pulled or shrinkage. This allows you to mark whether the product is expired, damaged, lost, or refunded.
- After all adjustments have been made, tap Save to finalize the offline service.
Servicing OCS Stations
- Once you’ve tapped the route, you will need to select the location and then the invoice for the order you are delivering.
- Tap the Note icon on the top right to add an Invoice Note.
- Tap the order to see the items to be delivered. The order should appear similar to the image on the right.
- Tap Mark as Delivered. When you return to the order, a button labeled Finish Invoice will appear below the delivered date, which you will tap and then select Get Signature or mark Customer Not Present. It is important that you finish the invoice, or the order will not be marked as completed and will have to be corrected later.
- Review the order details, such as invoice total, confirmation email, and marking cash on delivery.
- Tap Save, and confirm.
New Order screen:
Servicing Markets
- To view or adjust the items you will be stocking, tap the Prekitting button beneath the market information. If the items you will be stocking differ from the original prekit, the numbers can be adjusted here before marking the market as serviced.
- After a market has been marked as serviced from the kiosk application or in Stock, by tapping the Inventory button you can view the final product count and make certain adjustments.
NOTE: While the product count can be adjusted here, it is recommended to adjust products stocked in Prekitting before marking as serviced. This ensures accurate inventory tracking.
- Under any product, tap to enter product pulled or shrinkage. This allows you to mark whether the product is expired, damaged, lost, or refunded.
- You can add notes, refunds, collect money, and stock the market similar to how you would service a machine.
Auditing a Machine or Market
- If machine/market audits have been enabled and scheduled from the VMS, they will show up in Stock when going to service the machine, both on the location page and when on the machine page. Regular servicing options will be restricted until the audit has been completed.
- Once you mark the machine or market as serviced via Fill Dex or Manual Parlevel, the Inventory button will be available with a notification. Once opened, you will be prompted to enter a full count for all machine selections/market products. When these have all been entered, you can save the audit and normal servicing options will be restored.
Please note that quantities must be assigned for all selections. Any inventory left at 0 when saving the audit will be marked as having 0 units.
