Parlevel - Routing

Routing saves time and money by allowing you to map out the best route for your machine locations.

Plan your first route created during the Quick Start guide. 

Edit your Route

The following will cover the Advanced Settings that were not discussed during the Quick Start guide.

  1. Click the Routes tab. Bold routes are already planned or started.

  2. Hover over the route you created in the Quick Start guide. This route is not bold.

  3. Click Plan Service Route.

  4. The route name, driver name, truck name, and warehouse assigned to this route are located below the navigation bar at the top left of the screen.

  5. Located at the top right of the screen is the forecasted date for the route: Show/Hide Map , and Route Settings .

  6. Click Route Settings , which will open to the General tab.

    • To change the Driver, Warehouse, Truck, or Prekit Method, click the corresponding drop-down menu and select the appropriate option.
    • To change the color of the Route Icon, select your preferred color from the options available in the dropdown. This will change the color of all machines/markets associated with the route on the VMS Overview screen.
    • Click Save changes.

  7. Click the Planning tab.


    • Choose the number of locations to preselect when route planning. These locations are automatically checked off for servicing selected after the priority sorting is complete.

    • To set up priority sorting, choose the factors that are most important to you when servicing your machine. To take these factors into consideration, check or uncheck the boxes for Sold Outs, Inventory Level, and Money in Machine.

    • Set the priority level for these factors using the arrows to the left of the factors. Locations will be sorted following the criteria chosen here.
    • Click Save changes.

  8. Click the Advanced tab.

    • To choose the Days of Operation for this route, check or uncheck the corresponding boxes for the days of the week.

    • Choose how many days in advance to plan your route by default from the Advanced Planning drop-down menu located in the second column.

    • Choose if you want to be able to schedule inventory audits. During an audit, the driver counts all inventory in the machine to verify accuracy. This option is not available for offline machines.
      In order to have the options above available, Audit Scheduling must be enabled under Company Settings > Route Planning.

    • Enable dynamic audits to auto-schedule audits after a certain number of services or a certain number of days after the last audit.

    • To plan this route using forecasted data (based on historical sales), check Plan With Forecast.

    • To prekit this route using forecasted data, check Prekit With Forecast.

    • To add an additional prekit forecast for machines that are currently experiencing communication issues, check Enable Breakdown Prekitting

    • To choose how you want to view your route planning information, select Group Locations or Table in Planning View located in the third column.
    • Click Save changes.

Plan your route

  1. Click the Routes tab. Bold routes are already planned or started.

  2. Hover over the route you just edited, and then click Plan Service Route.

  3. Located below the route name are the number of locations and machines assigned to this route, as well as the money expected to collect and the total sold in your entire route.

  4. To filter your machines and locations, click Toggle extra filters in the upper middle of the screen.
    - You can select one or more locations and set Min CSO, Min Collect, and Min DSLS filters. These terms are defined below in step 6.
    - To view and select locations that are currently not assigned to any specific route, check Include Unassigned.

  5. The total machine sales for the location is displayed next to the location name.

  6. The following are the column heading definitions and usage in the routing screen:

    • RTP (Ready to Prekit) denotes how recently the machine has communicated with Parlevel by using color coded icons:

      • Green: The machine has communicated in the last 4 hours.

      • Orange: It has been 4-8 hours since the last communication.

      • Red: The machine has not communicated in over 8 hours.

      • Black: The machine is an offline machine.

    • Name is the name of the machine.

    • CSO (Current Sold Outs) a number indicating how many sold-outs are currently in this machine.

    • PSO (Projected Sold Outs) is only used for routes planned for future days. PSO signifies how many selections are expected to sell out between now and the day you plan on servicing the machine.

    • DNSO (Days Until Next Sold Out) is the number of days until the next selection is expected to sell out.

    • PL (Parlevel Percentage) represents how full the machine is.

    • Collect is the amount of money expected to be in the machine at the time of service.

    • DSLS (Days Since Last Service) is the number of days since this machine was last serviced in the VMS.

    • DSLA (Days Since Last Audit) is the number of days since the inventory for this machine was last counted individually. This column is not applicable to offline machines.

    • Action indicates which service the driver will perform while visiting the machine. There are currently four options, Service Only (fill product only), Collect Only (collect money only), Service and Collect (fill product and collect money), and Repair (repair an issue on the machine, or sometimes used with a machine audit). By default, Service and Collect will be selected, but this can be changed in the edit machine page.

    • DFC (Days Forecasted) is how many days' worth of product have been forecasted for this machine.

    • Audit indicates that you plan to audit the machine inventory during this route. Audits cannot be scheduled for offline machines.

    • Planned indicates that you plan on having the machine serviced during this route.

      If the icon is displayed next to the Planned checkbox, the inventory might be inaccurate due to a Breakdown Alert. This may be because the machine has been unable to Dex and provide inventory information. For more information about alerts, see Alerts Intro.

  7. To change the action to perform on the machine, click the Action drop-down menu.

  8. To plan the machine for service, check Planned.

  9. To map your route, click Calculate Route.

    • The VMS calculates the best route for the locations that you selected. The map on the right side of the screen highlights the route. Below the map is the distance in miles and the time it takes to drive the route.

    • If you are not satisfied with the route, click Start Over.

  10. When you are satisfied with the route, click Calculate Prekitting. For information about prekitting, see the next article.
